Catholic Charities of the Archdiocese of Newark is currently seeking a Full Time Administrative Assistant for our Mobile Response and Stabilization Services Program located in Jersey City, NJ.
Requirements:
- A high school diploma or GED is preferred, but not required.
- 1-2 years experience in office operations is preferred
- Valid NJ drivers license
- Bilingual English/Spanish preferred
- Provide administrative support to program management and daily office operations.
- Manage records, documentation, and the program's management information system.
- Maintain accounting records, budgets, billing, reimbursements, and payment requests.
- Process timesheets and assist with payroll-related administrative tasks.
- Coordinate calendars, meetings, appointments, and office communications.
- Perform clerical duties, including filing, data entry, mail processing, and phone support.
- Maintain office supply inventory and coordinate purchasing.
- Track employee leave and maintain administrative records.
- Ensure confidentiality of sensitive employee and client information.
- Monitor reception areas and ensure compliance with facility safety and sign-in/sign-out procedures.
- Identify and report safety concerns in accordance with organizational policies.
- Perform additional administrative duties as assigned.
