About the Role
The Administrative Assistant, Internal Audit will provide general administrative support for Senior Leadership within Internal Audit. Duties include, but not limited to calendar management, answering phones, creating, and submitting expense reports, scanning, mailing, filing, preparing audit binders and timesheets, maintenance of department files and records, interpreting and summarizing Audit reports, input, and management of aspects of the Internal Audit system and additional ad hoc projects, as needed.
Your Responsibilities

  • Produce departmental reports, memos, and correspondence
  • Assist the Professional Practices Group with compiling information for Audit Committee reporting
  • Read, interpret, track, and log all Audit reports
  • Provide Audit summaries to Senior Leadership
  • Answer, screen, and direct phone calls
  • Tend to the prioritization of email inbox including learning proper responses and ensuring closure
  • Monitor emails in Senior Leadership email box that may be confidential in nature, and make sure emails get routed to the appropriate person for a response
  • Distribute materials and memos
  • Provide administrative services such as copying, faxing, ordering supplies, etc., as needed.
  • Assist with video conferencing set-up and use
  • Independently schedule appointments, manage, and maintain calendars, and arrange travel plans and itineraries
  • Coordinate programs, events, and conferences
  • Schedule facilities and catering, issue information/invitations, coordinate speakers, etc. within event budget
  • Coordinate and arrange meetings, prepare agenda, reserve, and prepare facilities and record meeting minutes as necessary
  • Open, sort and distribute incoming correspondence, including mail and faxes
  • Review and prepare invoices for processing.
  • Maintain files for control, budgeting, and other analytical purposes


Who we are looking for

  • High School Diploma
  • 7+ years of administrative experience
  • Advanced Microsoft PowerPoint and Outlook skills with proficiency in Microsoft Word and Excel
  • Excellent organizational and communication skills
  • Proven ability to work independently with strong follow up skills
  • Ability to travel locally when needed


Your preferred qualifications

  • Bachelor's Degree
  • Previous administrative experience assisting Senior Leaders
  • Ability to engage with members of the Senior Leadership Team
  • Ability to prepare various technical presentations with minimal direction
  • Ability to conduct research and compile data for consideration and presentation by Senior Leader of Internal Audit
  • Handle other duties, special projects, and tasks as assigned
