Job Description:

Baptist Health Medical Group is looking for an Administrative Assistant III to join our Kentuckiana Operations Team in Louisville, KY! This will be a hybrid position that requires some days in the office.

Principal Duties and Responsibilities:

  • Coordinates and maintains daily office routines and paperwork for the Executives assigned to.

  • Ensures calls/messages or high priority information are communicated appropriately. 

  • Composes, transcribes, proofs, and/or edits letters, memos, and various documents in a timely and accurate manner.

  • Schedules, distributes notices, attends, takes and maintains minutes for important meetings as required.

  • Make arrangements for programs, conventions and seminars that may include travel arrangements, hotel or meeting accommodations, registration, and itineraries.

  • Organizes and maintains file systems for correspondence and other records.

  • Update contact lists and directory lists as needed.  

  • Prepares outgoing mail and correspondence, including email and faxes.   

  • Greets visitors and employees, assisting and directing if necessary.

  • Assists in coordinating special events such as meetings, employee events, etc.

  • Keeps expense records and creates spreadsheets for productivity data.

  • Keep invoices and route for signature-submit for payment.

  • Provides coverage for other Administrative Support Assistants in their absence.

Minimum Education, Training and Experience Required:

  • High School Diploma or Equivalent required. Associates degree in secretarial studies strongly preferred

  • 3+ years experience in an administrative role supporting executives

  • Ability to type 50 wpm or better preferred

  • Working knowledge of Microsoft Office software
