Position Summary
The Administrative Assistant II provides comprehensive administrative, clerical, and operational support to the Force Integration Division (FID), Project Manager Soldier Medical Devices (PM SMD) at Fort Detrick, Maryland. The incumbent supports medical logistics, force projection, readiness, and mission support activities by maintaining records, managing data, coordinating schedules, preparing correspondence, and assisting with reporting requirements.
This position plays a critical role in providing Medical Materiel Support to all Army components facilitating optimal healthcare and worldwide medical readiness through; the procurement, assembly, and distribution of Medical Equipment and Medical Materiel Sets, Kits, Outfits (SKOs), the disassembly of previously fielded medical materiel and equipment, the management of excess medical materiel, the provision of disposition instructions, the management of on hand medical materiel inventory, and the provision of technical assistance for medical materiel sustainment operations including training on Army automated logistics systems.
Key Responsibilities
Administrative Operations Support
- Provide administrative and clerical support for PM SMD programs, projects, and daily operations.
- Coordinate meetings, schedules, travel arrangements, and administrative actions for Government and contractor personnel.
- Maintain official records, electronic files, correspondence, reports, and administrative documentation.
- Track suspense actions, taskers, deliverables, and action items to ensure timely completion.
Data Management and Reporting
- Gather, collect, verify, track, and maintain data from multiple sources to support mission requirements.
- Input, update, and manage information utilizing Government systems, Microsoft Office applications, and other approved software platforms.
- Compile reports, spreadsheets, statistical data, charts, graphs, presentations, and readiness metrics.
- Assist with the preparation and distribution of recurring and ad hoc management reports supporting PM SMD leadership.
Correspondence and Documentation
- Prepare and format memorandums, letters, executive summaries, meeting minutes, briefing materials, information papers, and other official correspondence.
- Review documents for accuracy, completeness, grammar, formatting, and compliance with Army correspondence requirements.
- Support document management and records retention activities in accordance with applicable regulations and organizational policies.
- Assist with staffing and routing documents through appropriate review and approval channels.
Process Improvement and Mission Support
- Support administrative functions associated with medical logistics, inventory management, supply operations, and force projection activities.
- Develop and maintain tracking tools, databases, and workflow processes that improve operational efficiency and accountability.
- Provide information and documentation regarding office procedures, business processes, and administrative requirements.
- Assist leadership with special projects, research efforts, data calls, and mission analysis requirements.
Required Qualifications
- Associate’s degree in Business Administration, Office Management, Logistics, or related field; equivalent experience may be substituted.
- Minimum of three (3) years of administrative, clerical, program support, or office management experience.
- Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams.
- Experience managing records, reports, databases, and administrative correspondence.
- Strong organizational and time management skills with the ability to prioritize multiple tasks.
- Must possess a current valid state driver’s license.
- Must be able to obtain a Secret Clearance.
Preferred Qualifications
- Experience supporting Army, Department of Defense (DoD), or medical logistics organizations.
- Familiarity with Army administrative processes, correspondence procedures, and records management requirements.
- Experience providing administrative support for logistics, supply chain, readiness, or force projection programs.
- Knowledge of Army Regulation (AR) 25-50, Preparing and Managing Correspondence.
- Demonstrated ability to work collaboratively with other contracted maintenance services.
- Enterprise Logistics Management System (ELMS).
Physical Requirements
- Willingness to work flexible hours, including on-call assignments, nights, weekends, and holidays.
- Ability to work at an accelerated pace under emergencies or operational demands.
- Must wear appropriate personal protective equipment (PPE).
- Requirements include walking, standing, reaching, bending, and moving items.
- Required to lift and carry weight over 50 pounds.
