Description
Position Summary:
The Administrative Assistant serves as the first point of contact for United Food Bank by providing exceptional customer service to visitors, volunteers, donors, agency partners, and staff. This position is responsible for managing front desk and reception operations, providing administrative support to the Finance Department and other departments as needed, maintaining accurate records, coordinating office communications, and ensuring the efficient day-to-day operation of the administrative office. The ideal candidate is organized, detail-oriented, professional, and able to manage multiple priorities while supporting the mission of United Food Bank.
Responsibilities include, but are not limited to, the following:
- Answers multi-line telephones, routing calls to appropriate staff, takes messages when necessary, gives directions, and offers referral information as requested.
- Greets visitors (including board of director members, donors, agency and sales representatives, volunteers, the public, and other guests) entering the Food Bank lobby.
- Maintains the lobby and reception desk area in a clean and professional condition at all times.
- Ensures all incoming mail is delivered to the Finance Department each day
- Assists the Finance Department with administrative duties as needed and provides support to other departments as needed.
- Other duties as assigned.
Requirements
Qualifications
- Passion for alleviating hunger and aligned with our mission and values.
- High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience
- Demonstrated experience, knowledge, and proficiency in Microsoft Office products, specifically Access, Word, Excel, and Outlook
- Ability to communicate United Food Bank’s mission with potential volunteers to solicit their help
- Excellent verbal and written communication skills
- Excellent time management skills
- Must be flexible and improvise to accommodate schedules
- Ability to multitask and remain responsive internally and externally, including returning phone calls and emails in a timely manner
- Ability to analyze situations and apply problem-solving techniques
- Ability to work in a team environment
- Ability to work under pressure and meet deadlines
- Excellent follow-up and follow-through skills
