Summary: The Finance Administrative Assistant has responsibility for recording and processing payments received by the Agency, performing various reconciliations and other day-to-day administrative tasks.
- Enters all payments received into Incompass’ accounting system
- Deposits all checks received using a remote deposit scanner
- Manages and reconcile petty cash; Assists with/performs various reconciliations
- Reviews and verifies prepaid debit card logs
- Open and sorts mail
- Processes EBT card transactions
- Prepares recertifications for MassHealth, SNAP benefits and housing vouchers
- Assists with/performs various reconciliations
- Manages the collection of receipts for purchases
- Arranges for the return of goods purchased but not needed
- Observes and documents the receipt of deliveries
- Performs other administrative duties as requested including copying, distribution, scanning and filing
- Other duties may be assigned as needed

Education and Experience
- High school education or GED equivalent is required
- Two years of related administrative experience
- Proficiency in Microsoft Office
- Ability to multi-task, work under pressure and meet deadlines
Analytical Skills Demonstrated ability to solve problems and successfully manage several projects simultaneously.
Language Skills
Mastery of the English language required as demonstrated by the ability to read and interpret documents such as operating and maintenance instructions, procedure manuals, safety rules and personnel policies. Ability to write routine reports and correspondence. Ability to speak professionally with other employees or managers within the organization required.
Mathematical Skills
Must have the ability to add, subtract, multiply and divide all units of measure, using whole numbers, common fractions, and decimals.
Reasoning Ability
Must be able to apply common sense understanding to interpret and carry out a variety of instructions furnished in written, oral, diagram or schedule form. Must have the ability to solve practical problems involving several concrete variables in standardized situations.
