Job Summary: The Associate Chief of Staff & Board Liaison serves as the CEO's strategic partner, helping translate priorities into action while ensuring effective communication, governance, and organizational execution. The role combines Chief of Staff, Board Liaison, and Executive Assistant responsibilities, balancing strategic project management with executive support.

Essential Responsibilities: 

Strategic Operations

· Partner with the CEO to execute strategic priorities and organizational initiatives.

· Track executive and leadership action items and ensure timely follow-up.

· Coordinate cross-functional projects involving multiple departments.

· Prepare executive dashboards, briefing materials, reports, and presentations.

· Identify issues requiring CEO attention and recommend solutions.

· Support strategic planning sessions, retreats, and organizational planning.

Board Governance & Liaison

· Serve as primary liaison to the Board of Directors, Executive Committee, and Board committees.

· Coordinate Board meetings, agendas, packets, minutes, resolutions, and governance records.

· Maintain Board calendars, committee rosters, governance documents, and annual schedules.

· Track Board decisions and ensure follow-up on commitments.

· Maintain official corporate records and confidential governance documentation.

Executive Support

· Manage the CEO's calendar, travel, correspondence, and meeting logistics.

· Draft confidential communications, presentations, and executive correspondence.

· Coordinate executive meetings, leadership retreats, and agency events.

· Screen communications and prioritize issues requiring executive attention.

· Provide administrative support to senior leadership as assigned.

· Handle highly confidential information with discretion and professionalism.

Qualifications: 

· Bachelor's degree preferred; equivalent experience considered.

· Five or more years supporting C-suite executives.

· Experience working with a Board of Directors required.

· Demonstrated project management and organizational skills.

· Excellent written, verbal, and interpersonal communication skills.

· Ability to influence without direct authority and manage competing priorities.

· High degree of discretion, professionalism, and sound judgment.

· Advanced proficiency with Microsoft Office and collaboration platforms.

Supervisory responsibilities: No 

Access to confidential information: Yes 

Physical Demands: Sitting for long periods; intensive computer work for many hours. Considerable concentration and technical abilities. May require lifting up to 25lbs. 

Working Conditions: General office; requires attending meetings outside of the office and community outreach public speaking opportunities, occasional weekend and evening work/meetings.

Requirements

  • Bachelor’s degree preferred.
  • Minimum of 5 years of administrative experience in a similar role, preferably in a nonprofit or corporate governance setting.
  • Exceptional organizational skills and attention to detail.
  • Strong verbal, written, and interpersonal communication skills.
  • Ability to work effectively with diverse individuals including Board members, donors, and senior leadership.
