Position Summary
We are seeking a friendly, organized, and detail-oriented Administrative & Scheduling Assistant to support the daily operations of our autism clinic. This position serves as the first point of contact for clients and families while providing administrative, scheduling, and operational support to our clinical team. The ideal candidate is professional, dependable, and able to manage multiple priorities.
Essential Responsibilities
- Greet clients, families, vendors, and visitors with professionalism and warmth.
- Answer phones, respond to inquiries, and direct calls appropriately.
- Coordinate client schedules for ABA, Occupational Therapy, and Speech Therapy services.
- Maintain employee schedules and assist with payroll-related scheduling.
- Communicate with families regarding scheduling changes, cancellations, and other service-related updates.
- Assist staff and families with appointment essentials, including obtaining required electronic signatures.
- Maintain office and clinic organization, including filing, scanning, inventory management, mail, and supplies.
- Help maintain a clean, organized, and welcoming clinic environment.
- Support clinic operations by completing additional administrative tasks as needed.

Schedule
Part-Time (20 hours/week)
Monday–Friday
2:30 p.m. – 6:30 p.m.

Qualifications
- High school diploma or equivalent required.
- Administrative, customer service, or healthcare office experience preferred.
- Strong organizational, communication, and customer service skills.
- Proficiency with Google Workspace and the ability to learn scheduling software such as MeasurePM.
- Ability to multitask, maintain confidentiality, and work independently in a fast-paced environment.
- Experience in a pediatric, therapy, or healthcare setting and knowledge of HIPAA are preferred.
