The Admin Assistant will directly support and assist the Executive Assistant in a variety of projects for the CEO and two company Board Members. Projects include running errands, conducting research, assisting with high-level projects, scheduling meetings, organizing calendars, providing personal assistance, and offering general support to the executive assistant. The ideal candidate will be detail-oriented, quick-thinking, and a problem-solver who is self-motivated, impeccably organized, and will thrive in a fast-paced environment with diverse responsibilities and deadlines.
- Perform administrative tasks to support the team, i.e., expense reports, administrative filing, research requests, company communication, etc.
- Assist in document creation and meeting preparation, agendas, PowerPoint and other meeting presentations, including preparing Excel, etc.
- Answer customer phone calls and direct guests to the company executives.
- Conduct research, compile reports, and present data to a variety of audiences.
- Run errands and make returns as needed.
- Work collaboratively with other members of the leadership team to ensure a cohesive and effective environment.
- Manage Board Member’s non-profit children's book series social media postings, sending out newsletters, set up vendor/sales opportunities, updating websites, etc.
- Serve as a backup to the Executive Assistant in managing the calendars and schedules for executives and Board Members, including scheduling appointments with internal and external contacts when they are unavailable. Maintain a high degree of confidentiality, discretion, and tact.

- 2+ years commitment
- Enjoys working in a fast-paced environment: proactive, highly motivated, creative, quick thinking, and deadline driven.
- Ability to manage and prioritize multiple complex projects with competing priorities and deadlines; time management skills are critical—someone who can juggle many balls in the air.
- Superior organization, self-motivation, and self-management skills, as well as strong analytical and problem-solving skills, are essential
- Professional demeanor and appearance are a must—friendly, positive, and upbeat personality.
- Keen attention to detail, sound judgment, commitment to maintain a high level of confidentiality and diplomacy, resourceful and creative.
- Intermediate to advanced knowledge of software packages, including Microsoft Office Suite, particularly Excel. Ability to quickly learn and adapt to new programs, technologies, or processes.
- Impeccable communication skills (written and verbal) and interpersonal skills.
- Willingness to run errands with a reliable personal vehicle (gas reimbursed)
- Prior Administrative/Executive Assistant experience required.
