About the Role

The Admin and Finance Assistant will support the effective and efficient management of the organization’s financial, administrative, procurement, logistical, and general office operations. The position will ensure that financial and administrative records are accurate, properly maintained, securely documented, and compliant with organizational policies and applicable laws and regulations of Nepal.


Key Responsibilities

1. Financial Management

  • Maintain accurate and up-to-date financial records, ledgers, cash books, and supporting documentation, including the preparation of payment vouchers, journal entries, receipts, and other accounting documents.
  • Assist in the preparation of monthly financial reports, bank reconciliations, and other financial statements, and coordinate with banks regarding deposits, withdrawals, payments, and other financial transactions.
  • Manage petty cash transactions and ensure that all cash transactions are properly authorized, recorded, supported, and reconciled.
  • Ensure compliance with organizational financial policies, procedures, and applicable tax regulations in Nepal, including VAT and TDS requirements.
  • Support internal and external audits by preparing and organizing required financial documentation, maintaining audit trails, and responding to audit queries in coordination with relevant staff.

2. Administrative, Procurement and Logistics Support

  • Maintain office files, records, and financial and administrative documentation systematically in both hard copy and digital formats, ensuring documents are properly filed, scanned, securely backed up, and readily accessible when required.
  • Support procurement processes by obtaining quotations, preparing comparative statements, processing purchase orders, maintaining procurement records, and ensuring compliance with organizational procurement policies and procedures, while liaising with vendors, service providers, and other relevant parties as required.
  • Coordinate logistics for meetings, workshops, events, trainings, and travel arrangements, including necessary bookings, supplies, venues, and related administrative requirements.
  • Monitor and manage office supplies, utilities, equipment, inventory, and other operational requirements to ensure the smooth day-to-day functioning of the office.
  • Provide general administrative support, including correspondence, email and telephone communication, scheduling, and coordination with internal and external stakeholders.
  • Work collaboratively with team members and provide timely administrative and financial support to facilitate the effective implementation of organizational activities.


Qualifications and Experience

Education

  • Bachelor’s degree in Business Administration, Management, Finance, Accounting, or a related field. [preferred]


Experience

  • Minimum 1–2 years of relevant work experience in finance, accounting, administration, or a similar role.


Skills and Competencies

  • Proficiency in accounting software such as Tally, Rigo, or similar financial management systems, with a sound understanding of basic accounting principles and financial documentation.
  • Good working knowledge of Microsoft Office applications, particularly MS Excel and MS Word.
  • Knowledge of VAT, TDS, and applicable tax requirements in Nepal.
  • Strong organizational, coordination, and time-management skills, with a high level of attention to detail and accuracy.
  • Good written and verbal communication and interpersonal skills in Nepali and English.
  • Ability to work independently and collaboratively within a team while managing multiple tasks and meeting deadlines.


Additional Requirement

Must possess a valid two-wheeler driving license and be willing to commute locally for banking, procurement, logistics, and other official purposes as required.
