Job Purpose:
We are seeking a detail-oriented, highly organized Accounts Payable / Accounts Receivable Specialist to support day-to-day financial operations and assist with key phases of our month-end close cycle. In this role, you will help process payroll entries, prepare corporate credit card reconciliations, handle accounts payable, contribute to operational reporting, and support contract billing, working closely with the accounting team and leadership.
The ideal candidate is eager to learn, thrives in a fast-paced production environment, communicates well across departments, and takes pride in delivering accurate work on deadline.
Duties and responsibilities:

Month-End Close Execution
- Payroll & Accruals: Own Day 1 close procedures by processing standard monthly payroll entries and calculating complex wages/PTO accruals.
- Corporate Credit Card Management: Code, reconcile, and post corporate credit card journal entries, collaborating with leadership for final review and sign-off.
- Asset & Liability Reconciliations: Partner with senior accounting team members to reconcile private event deposits (Stripe/Triple Seat) and track non-profit/charity merchandise allocations.
Accounts Payable & Compliance
- AP Inbox Management: Manage the AP email box for new vendor invoices received and save them to the network.
- Weekly Payables: Process the weekly payables run by printing checks and entering bank transactions (EFT, ACH, wires).
- State Compliance: Maintain state compliance in 15 states.
- Operations, Billing & Revenue Tracking
- Contract Brew Administration: Audit production sheets to ensure all monthly contract manufacturing orders are fully and accurately invoiced.
- Inventory & Storage Billing: Track inventory levels, coordinate directly with warehouse operations to verify shipments, and generate monthly storage fee invoices for contract accounts.
- Inventory Investigations: Conduct inventory investigations.
- · Retail Sales Allocation: Extract data from POS systems (Toast) to properly allocate monthly retail sales across multiple cost centers.
- Accounts Receivable Audit: Review aging reports for contract accounts, proactively identifying outstanding balances and calculating applicable finance charges.
Reporting & Expense Dissemination
- Cross-Functional Reporting: Generate monthly Sales PVT reports and distribute actionable financial data directly to the Sales and Production teams.
- Expense Management System Auditing: Audit and disseminate monthly platform expense reports (Encompass), strictly cross-referencing and matching data against concurrent corporate travel activity (Concur).
- Cash Flow & Tenant Invoicing: Manage recurring monthly income logs (e.g., commercial warehouse tenant rent) and handle timely execution of scheduled corporate ACH transactions.

- Technical Proficiency: Strong hands-on experience with modern ERP platforms and industry-specific tech stacks (experience with Toast POS, Concur, Triple Seat, or Encompass is a significant plus).
- Excel Skills: Intermediate to advanced Excel skills (VLOOKUPs, Pivot Tables, and structured data verification).
- Attention to Detail: Proven ability to adhere to rigid constraints (e.g., waiting on exact warehouse production confirmations before completing billing milestones).
- Communication: Strong interpersonal skills to interface smoothly with Warehouse Managers, Sales Leads, and Executive Contacts.

Skills Required
- At least 1–2 years of direct accounts payable and accounts receivable experience
- Typing speed of 40 words per minute
- Strong 10-key skills
- Strong organizational skills and ability to multitask

- Ability to work independently with minimal supervision and take initiative
