Reporting to the Accounting Manager, this role is integral to determining revenue and company profitability. The role performs financial transactions to ensure the company receives payments for goods/services offered to clients as well as controls expenses by receiving, processing, verifying and reconciling vendor invoices. The Accounting Specialist position is a fully on-site role with no remote possibilities.

ESSENTIAL RESPONSIBILITIES/FUNCTIONS may include but are not limited to:

  • Provide financial, administrative and clerical services to the Accounting department
  • Generates and submits custom client invoices
  • Monitor and post incoming payments against client invoices
  • Creates client statements and follows up with clients regarding outstanding invoices
  • Enters vendor invoice data into accounting software
  • Facilitates vendor payments which includes verification of correct vendor balance
  • Verifies that Purchase Orders are coded correctly
  • Communicates with vendors/clients via phone, email, mail, and in person
  • Manages company credit cards and expense reporting software
  • Creates Sales Orders and Work Orders for each project
  • Manages month end reconciliation of financial accounts
  • Reconciles and posts general ledger transactions
  • Prepares Accounts Payable & Accounts Receivable reports for internal use
  • Copies, files, and retrieves materials for accounts receivable as needed
  • Relays changes of applicable accounting information to appropriate employees
  • Ensures the confidentiality and security of company's financial information
  • Performs other related duties as assigned

KNOWLEDGE/SKILLS/ABILITIES

  • Proficient in accounting software programs as well as Microsoft Office Suite or related software
  • Ability to perform intermediate level Excel spreadsheet functions and formulas
  • Ability to consistently respond timely and appropriately to shifting priorities
  • Ability to work independently and in a fast-paced environment
  • Ability to manage multiple priorities and personalities and can switch gears quickly
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail

EDUCATION/CERTIFICATIONS/EXPERIENCE

  • Bachelor's degree in Accounting or equivalent previous work experience in an Accounting role preferred
  • At least 2 to 4+ years of Accounting experience required
