What the Job Looks Like (What You'll Do)
- Front Office: Answer and direct phone calls promptly, greet visitors, respond to emails, and provide a professional first impression.
- Administrative Support: Schedule appointments, manage calendars, coordinate meetings, prepare meeting materials, and provide general administrative support.
- Office Operations: Maintain office supplies and equipment, organize the supply room, receive and distribute mail and deliveries, and maintain a clean, organized office.
- Records & Files: Set up new property files and maintain accurate filing systems, records, and documentation.
- Accounting Support: Assist with accounts payable, accounts receivable, invoice processing, payment processing, data entry, and financial transactions.
- Financial Records: Assist with bank reconciliations and maintain accurate financial records.
- Resident & Vendor Support: Respond to resident accounting inquiries and coordinate with vendors and contractors as needed.
- Reporting & Team Support: Prepare reports and provide additional accounting and administrative support to various departments as needed.
