Location: Port Washington, WI

The Accounting Coordinator supports the Finance department through a combination of accounts payable, accounts receivable, payroll support, and retail deductions activities. This role is responsible for processing financial transactions, maintaining accurate records, supporting internal and external customers, and actively recovering unauthorized customer deductions from major retail accounts. The ideal candidate is highly organized, analytical, customer-focused, and thrives in a fast-paced manufacturing environment. 

What You’ll Do
  • Accounting & Finance Support
    • Process and maintain AP and AR transactions.
    • Distribute invoices for approval and prepare payments.
    • Reconcile expenditure reports and maintain accounting records.
    • Process cash applications and customer invoicing.
    • Maintain vendor communications and resolve payment-related issues.
    • Support payroll processing activities, including timekeeping, temporary labor reporting, employee data maintenance, and employment verifications.
    • Assist with special projects and other accounting-related duties as assigned. 
  • Retail Deductions Management
    • Investigate, track, and resolve customer deductions and chargebacks.
    • Access retailer portals to dispute deductions and upload supporting documentation.
    • Collaborate with internal teams to gather documentation and validate deductions.
    • Communicate with customer accounts payable departments regarding deduction disputes and outstanding balances.
    • Follow up on unpaid invoices and deduction claims to maximize collections.
    • Prepare reports and analysis of deduction activity for management review.
    • Partner with Sales, Customer Service, Supply Chain, and Finance teams to identify root causes and reduce future deductions. 

Requirements
  • Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field.
  • 2+ years of experience in accounting, accounts receivable, accounts payable, deductions management, collections, or related financial roles.
  • Strong Microsoft Excel skills and proficiency with Microsoft Office applications.
  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong analytical and problem-solving abilities. 
  • Preferred
    • Experience working with retail deductions, chargebacks, shortages, compliance fines, or promotional deductions.
    • Manufacturing, CPG, contract manufacturing, or retail industry experience.
    • Experience using ERP systems such as SYSPRO or similar accounting software.
    • Experience working directly with large retail customers.
