Position:    Accounting Assistant  

Contract:        2-year renewable contract                                  Location:  Antananarivo, Madagascar

The Accounting Assistant provides day-to-day financial, accounting, and administrative support to IITA Madagascar to ensure accurate financial record-keeping and compliance with IITA policies and procedures. The incumbent assists with financial reporting, reconciliations, cash and travel advance management, document filing and archiving, and administrative logistics, while contributing to the efficient coordination of office operations and institutional activities.

DUTIES

  • Prepare monthly expense reports, journals and ledgers;
  • Perform bank reconciliations and cash balance reconciliations every month;
  • Track and reconcile travel advances and cash advances;
  • Verify that all required supporting documents are complete before filing them in the financial reports;
  • Ensure that cash and travel advance reimbursements are made on time;
  • Verify expense reimbursement requests to ensure they comply with IITA policies and procedures;
  • Follow up on the submission of advance retirement documents;
  • Ensure that monthly withheld taxes are remitted to the tax authorities within the required deadlines;
  • Act as custodian of accounting documents (payment files, journal vouchers, travel and cash advances);
  • File and maintain financial documents in hard copy;
  • Retrieve required files from the archives upon request;
  • Prepare files for fuel prepayments and the recharging of costs to the various cost centers;
  • Track and reconcile the fuel account every month;
  • Monitor vehicle use and maintenance;
  • Assist with unit inventory management;
  • Perform any other related duties assigned by the supervisor

Requirements

QUALIFICATION

Bachelor's Degree in Accounting, Business Administration, Finance or a related field of study with a minimum of two (2) years’ experience performing similar role in a well-structured environment.
Experience within a development project or an international organization is an asset.

  • Have excellent proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook) and accounting software.
  • Be able to manage multiple tasks simultaneously, work under pressure, meet deadlines, and demonstrate strong attention to detail.
  • Be a team player who can work effectively in a diverse environment, with a positive and proactive attitude.
  • Have the ability to liaise with suppliers and resolve issues related to payments and reimbursements.
  • Demonstrate knowledge of and fluency in English and French.
  • Adhere to high ethical standards and maintain confidentiality in the management of financial documents.
