Job Summary:

The Accounting Analyst duties involve knowledge in both Accounts Receivable and Accounts Payable departments such as collecting and applying funds received into the company's ledger, generating and sending client account statements, conduct communication with vendors on past due accounts, assist in working weekly ACH payment reports and keeping client invoicing up to date. Additional duties include the handling of department email inboxes, physical mail and fielding occasional phone calls.

Duties & Responsibilities

  • Receive and apply payments that have been obtained via check or ACH into the company's ledger.
  • Assist in the handling of past due accounts via email communicated reminders and updating corresponding documents.
  • Code items as invoices, vouchers, expense reports, check requests, etc., with correct codes conforming to standard procedures to ensure proper entry into the financial system.
  • Handle vendor correspondence via phone or email.
  • Attach the corresponding purchase orders to incoming invoices with all supporting documentation.
  • Investigate and resolve problems associated with processing of invoices.
  • Prepare and work a weekly ACH run report.
  • Issue payment remittance emails.
  • Assist with monthly status reports, and month-end-close as needed.
  • Perform other duties as required to support the Accounting Department.

Qualifications:

  • High school diploma or general education degree (GED), or one to three months related experience and/or training, or equivalent combination of education and experience
  • 10-key by touch
  • NetSuite, or other equivalent system experience (preferred)
  • Excellent written and verbal communication skills
  • Strong organizational skills must be detail oriented
  • Ability to multi-task
  • Open to change and willing to learn new skills
  • Ability to follow up on pending issues
  • Ability to meet deadlines
  • Ability to work independently and deliver results and simultaneously be able to work as part of a team

Physical Demands & Work Environment:

  • Ability to work at least 40 hours per week.
  • Ability to utilize keyboard, mouse, and computer for up to 8 hours per day.
  • Ability to utilize telephone/video conferencing for approximately 3-5 hours per day.
  • Ability to lift and/or move at least 10 pounds.
  • Ability to perform simple grasping, including handwriting, paper manipulation, sorting, folding, etc. periodically throughout the entire workday.
  • Continually remain in a stationary position throughout day.
