Job Summary
Salute is seeking an experienced and analytical Account Coordinator to serve as a dedicated finance resource for one of our new client accounts. This elevated role combines the operational rigor of account coordination with the strategic financial acumen typically associated with a Finance Manager position. The ideal candidate will thrive in a high-visibility, client-facing environment and be responsible for end-to-end financial management of a large-scale, performance-based data center facilities management contract — including billing, budgeting, forecasting, vendor cost management, audit readiness, and KPI-linked financial reporting.
Key Responsibilities
Financial Reporting & Analysis
- Prepare comprehensive financial reporting packages and supporting documentation for internal and client meetings (Global Account Reviews, Quarterly Business Reviews, Monthly Business Reviews).
- Lead variance analysis, identifying key drivers of revenue, cost, and margin changes at the account level.
- Maintain and update internal forecasting and budgeting trackers; prepare account-level forecasts for leadership review.
- Support month-end close deliverables, including accrual preparation, deferred revenue recognition, AP accruals, reclassification journal entries, and project-level reconciliations.
- Track account profitability, burn rates, and provide forward-looking financial commentary.
Billing & Revenue Management
- Generate and issue client invoices with full supporting documentation, ensuring accuracy and timely processing.
- Prebill clients in accordance with contractual terms; track and reconcile make-up invoicing for third-party vendor variances.
- Review and reconcile employee timecards for a 45+ headcount operation to ensure accurate project coding.
- Review and approve expense reports for coding accuracy and policy compliance.
- Monitor billing deadlines; resolve discrepancies across Salesforce, Intacct, and client billing systems.
- Manage Designated Entity billing structures, including separate invoice streams per client-directed entities.
- Track and collect outstanding accounts receivable, following up to ensure prompt payments.
Budgeting & Forecasting
- Support annual budget development with line-item detail in alignment with contractual requirements.
- Maintain account-level financial models and rolling forecasts.
- Track budget variances against contractual caps and thresholds (e.g., budget challenge provisions, overrun caps).
Vendor & Passthrough Cost Management
- Track vendor invoices across OEM vendors, soft-service contractors, utilities, and water treatment; ensure proper coding to correct projects.
- Validate markup calculations (e.g., differentiated rates for critical OEM vs. soft-service passthroughs).
- Coordinate with Vendor Management on vendor onboarding, PO creation, and AP processing.
- Maintain organized documentation for contracts, change orders, and purchase orders.
- Track vendor rebate obligations and ensure proper reconciliation and reporting to the client.
Contract Compliance & Administration
- Track contract changes, expansions, and extensions; ensure accurate documentation and record updates.
- Manage annual Consumer Price Index (CPI) increases and inflation-related adjustments per contractual terms.
- Support audit readiness by maintaining complete documentation for passthrough cost validation, W2/wage verification, and invoice backup.
- Track unfilled position costs and overtime at the contractually required 1.5x rate.
Governance & Stakeholder Engagement
- Participate in monthly Operational Governance Team meetings; prepare financial aterials for governance reviews.
- Communicate financial results and insights to internal and external stakeholders.
- Partner with Operations, Service Delivery, and Business Development leads to ensure financial alignment.
- Build and maintain strong relationships with client finance teams and internal cross-functional partners.
- Operational Coordination
- Participate in weekly operational syncs with account and project teams to align delivery, staffing, and financial updates.
- Support data integrity initiatives across Salesforce, Intacct, and Smartsheet.
- Drive process improvement and automation initiatives to enhance reporting efficiency and accuracy.
Qualifications & Skills
Required:
- Bachelor's degree in Finance, Accounting, or related field.
- 3–5+ years of progressive experience in account coordination, financial analysis, or a client-facing finance role, preferably in engineering services, data center operations, or facilities management.
- Strong analytical and problem-solving skills with meticulous attention to detail.
- Proficiency in Microsoft Office Suite (advanced Excel required) and financial systems (e.g., Sage Intacct, NetSuite, Salesforce).
- Demonstrated experience with billing, revenue recognition, cost tracking, and month-end close processes.
- Strong written and verbal communication skills with the ability to present financial information to both technical and non-technical stakeholders.
- Ability to manage multiple priorities and thrive in a fast-paced, collaborative environment.
Preferred:
- Experience with Time & Materials (T&M) and passthrough billing models.
- Familiarity with data center or critical infrastructure operations.
- Experience supporting performance-based contracts with KPI-linked financial deliverables.
- Knowledge of safety, environmental, and compliance standards (EHS, OSHA, NFPA).
- Experience with enterprise resource planning (ERP) systems and process automation tools (Power Query, Smartsheet, Power BI).
Compensation & Benefits Disclosure
The base salary range for this role is $80,000.00 to 90,000.00 per year. This range reflects a good‑faith estimate of what we reasonably expect to pay upon hire, based on factors such as skills, experience, education, and market/location.
