Payroll Administrator - Multi-State Experience

 

Reporting to: Head of PeopleDepartment: Human Resources Full Time / Part TimePay Rate : $65K / $30-35 an hour.
Job Overview:

 

We are seeking an experienced and detail-oriented Payroll Administrator with a proven track record of processing payroll for employees across multiple states. The ideal candidate will possess in-depth knowledge of payroll processing procedures, tax regulations, and compliance requirements specific to various states. The Payroll Administrator will play a critical role in ensuring accurate and timely payroll processing while maintaining compliance with relevant laws and regulations.


Job Duties & Responsibilities:

 

  • Multi-State Payroll Processing: Manage the end-to-end payroll process for employees located in multiple states, including data entry, calculation of wages, deductions, and taxes, ensuring accuracy and compliance with state-specific regulations.
  • Tax Compliance: Stay updated with federal, state, and local tax laws, wage regulations, and reporting requirements to ensure accurate payroll tax calculations and timely tax filings.
  • Benefit Administration: Coordinate employee benefits deductions and contributions accurately, including health insurance, retirement plans, and other voluntary deductions, while ensuring compliance with plan documents and regulations.
  • Record Maintenance: Maintain accurate payroll records and employee information, including earnings, deductions, and hours worked, ensuring data integrity and confidentiality.
  • Payroll Reporting: Generate and distribute payroll reports as required by management, accounting, and regulatory agencies, ensuring accuracy and completeness of data.
  • Problem Resolution: Address payroll-related inquiries and concerns from employees promptly and professionally, resolving issues and discrepancies effectively.
  • Process Improvement: Identify opportunities for process improvements in payroll administration and implement best practices to streamline payroll processes and enhance efficiency.
  • Collaboration: Coordinate closely with HR, Finance, and other departments to ensure seamless integration of payroll processes with overall organizational objectives and initiatives.



Expectations & Qualifications:

 

  • Proven Experience: Minimum of 3-4 years of experience in payroll administration, with a demonstrated track record of processing payroll for employees in multiple states.
  • Knowledge of Payroll Systems: Proficiency in using payroll software and systems (e.g., ADP, Paychex, Gusto, etc.) to manage payroll processes efficiently.
  • Understanding of Payroll Regulations: In-depth knowledge of federal, state, and local payroll tax laws, wage and hour regulations, and compliance requirements.
  • Attention to Detail: Exceptional attention to detail and accuracy in payroll processing, with the ability to identify errors and discrepancies and rectify them promptly.
  • Analytical Skills: Strong analytical and problem-solving skills, with the ability to analyze payroll data, identify trends, and make data-driven decisions.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to effectively communicate payroll-related information to employees, management, and external stakeholders.
  • Team Player: Ability to work independently with minimal supervision as well as collaboratively within a team environment, fostering positive working relationships with colleagues and stakeholders.

 



Education:

 

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field is preferred.
