Summary

The Administrator - VPC Operations Support, provides direct support to the Sr. National Manager - VPC Operations and coordinates and oversees all projects assigned and undertaken by the VPC Operations Support Group. This position coordinates with internal and external groups to assure that projects are managed effectively and efficiently while maintaining cost controls and ensuring maximum returns on investment of financial and human capital.

Responsibilities

  • Primary
    • Project Coordination: Assist in the planning, execution, and closing of projects by coordinating tasks, schedules, and resources
    • Documentation: Maintain and update project documentation, including project plans, timelines, and status reports
      • Ensure that stakeholders are informed and updated and all documentation is readily available
    • Communication: Facilitate clear communication among team members, stakeholders, and external partners
      • Be the go-to person for project-related inquiries
    • Scheduling: Schedule and organize project meetings, prepare agendas, and take meticulous meeting minutes
      • Ensure that actions and decisions are documented and followed up on
    • Resource Management: Keep an eye on resource allocation, ensuring that teams have the tools and support they need to meet project objectives efficiently
    • Risk Management: Identify potential risks and issues early on and work with the project team to develop strategies for mitigation
    • Budget Tracking: Collaborate with finance to monitor project budgets, expenses, and financial reporting
      • Ensure projects stay on track financially
    • Quality Control: Uphold quality standards by assisting in the development and implementation of quality assurance processes
  • Secondary
    • Publishing: Create and maintain dashboards utilizing Power BIand other tools to effectively communicate project statuses and milestones
    • Research: Assist with identification of emerging methods and technologies that support project life cycles
  • Tertiary
    • Provide training and support to others where appropriate

Compensation

$63,000- $69,000 per year (Subject to Compensation Study Upon Candidate Selection)

Qualifications

Required Skills & Qualifications

  • Strong organization, analytical, and problem-solving skills
  • Proven ability to multi-task and work with minimal supervision
  • Proficient with PC skills: Excel, Word, PowerPoint, Outlook, and database management systems
  • Strong interpersonal skills
  • Excellent written and verbal communication skills
  • Knowledge of project / contract management
  • Ability to create and publish reports using PowerBI

Education & Experience

  • HS Diploma/GED Required
    • Bachelor's Degree Preferred
  • 5 - 8 Years of Direct Experience in Administrative/Project Management Required
  • 6 - 9 Years of Direct Experience Required
  • 3 Years of Indirect Experience Required
    • 5 Years of Indirect Experience Preferred
