Key Responsibilities

1. Project Planning & Execution

 Lead the planning, execution, and delivery of IT and facilities projects from initiation to closure.
 Develop detailed project plans, including scope, timeline, resources, and budget.
 Monitor and report on project progress, risks, and issues, ensuring timely resolution.
 Coordinate with internal departments, contractors, and external vendors to ensure project deliverables are met on time and within budget.

2. Facilities Project Management

 Plan and manage facilities projects such as office buildouts, renovations, relocations, space planning, and infrastructure upgrades.
 Manage facilities vendors and service contracts and ensure minimal disruption to business operations during project work.

3. Stakeholder Management

 Collaborate with key stakeholders, including business leaders, IT teams, facilities staff, and end-users, to gather requirements and align project objectives.
 Facilitate communication between stakeholders, providing updates on project status and changes.

4. Technical Oversight

 Work closely with developers, engineers, system administrators, and facilities technicians to ensure technical feasibility and adherence to best practices.
 Assist in the identification and evaluation of new technologies, equipment, and functionalities that can enhance business processes and the work environment.

5. Change Management

 Apply change management processes to support the promotion of changes into production and the implementation of facilities changes, ensuring future readiness and regulatory compliance.
 Facilitate training sessions and create the necessary documentation to guide users through system and facilities changes.

6. Risk, Issue, and Safety Management

 Identify potential risks and issues that may impact project delivery and develop mitigation strategies.
 Ensure facilities projects meet health, safety, and building code requirements.
 Monitor project progress and address challenges proactively to keep the project on track.

7. Quality Assurance

 Ensure that project deliverables meet quality standards and business requirements.
 Conduct project reviews and retrospectives to identify lessons learned and opportunities for improvement.

8. Performance Tracking

 Track project performance against established KPIs and metrics, providing regular reports to management.
 Conduct post-project evaluations to identify lessons learned and opportunities for improvement.

9. Budget Management

 Manage project budgets across IT and facilities initiatives and ensure that resources are allocated efficiently.
 Track expenses and report on budget adherence and any variances.

Qualifications

 Bachelor’s degree in information technology, Computer Science, Construction/Facilities Management, Business Administration, or a related field; PMP, Agile, or Scrum certification is a plus.
 6+ years of experience in project/program management, with at least 4 years managing IT and/or facilities implementations.
 Strong understanding of IT systems (SDLC, infrastructure) and facilities operations (buildouts, space planning, physical infrastructure, and vendor management).
 Proven experience in leading cross-functional teams and managing multiple projects simultaneously.
 Excellent communication, leadership, and interpersonal skills.
 Strong analytical and problem-solving skills, with the ability to make data-driven decisions.
 Familiarity with project management tools (e.g., Jira, SharePoint, Microsoft Project, etc.) and methodologies (e.g., Agile, Scrum, Waterfall).
 Working knowledge of facilities, building codes, safety standards, and contractor/vendor management is preferred.
