About Us

Well-Oiled Operations is dedicated to empowering small business owners by transforming their businesses into valuable assets, all while creating more white space on their calendars. Our mission is to streamline and enhance operational efficiency, allowing entrepreneurs to reclaim their time and focus on growth and innovation.

At Well-Oiled Operations, we understand the unique challenges that small businesses face. We specialize in offering tailored solutions that optimize processes, improve productivity, and drive sustainable success. Our team of experts collaborates closely with clients to identify bottlenecks, implement best practices, and leverage cutting-edge technologies. This results in smoother day-to-day operations and a significant boost in overall performance. We believe that a well-organized business is a profitable one.

ROLE SUMMARY

We are hiring a Senior Paid Media Manager to own our in-house performance marketing across paid social and paid search. You will start by leading Meta (Facebook and Instagram) campaigns and, over time, expand into additional platforms including Google, YouTube, TikTok, Pinterest, LinkedIn, Spotify, Amazon, and emerging channels like ChatGPT placements.

This is a hands-on role for an experienced media buyer who is just as strong in strategy and data analysis as they are in campaign setup. You are not just pressing buttons. You are responsible for the outcomes: leads, sales, profitability, and the data story behind them. You think cross-channel, optimize daily, and hold yourself to a standard where every dollar spent can be accounted for.

You will work closely with the Meta, Funnels & AI Performance Coach, our Brand & Creative Director, and our Messaging & Copy Strategist to align offers, creative, and funnels. Collaboration is not optional here. The best campaigns come from people who communicate early, share what they are learning, and build on each other's work.

As a growing company, there will be seasons where this role flexes across departments or picks up work outside the core scope to keep things moving. That is the nature of building something at this stage. The expectation is not that every task fits neatly into a job description, but that you lead with ownership, communicate what you are carrying, and help the team solve for it together.

KEY RESPONSIBILITIES

1. Campaign Management & Optimization

  • End-to-End Ownership: Own campaign management across Meta (Facebook and Instagram) to start, then expand into Google, YouTube, TikTok, Pinterest, LinkedIn, Spotify, Amazon, and other platforms as we grow.

  • Full-Funnel Campaigns: Plan, build, launch, and optimize campaigns for leads, sales, and profitability, not just clicks. You manage the full funnel from top-of-funnel awareness through conversion and retention.

  • Daily Optimization: Analyze performance daily and weekly. Translate account data into clear actions to improve CAC, ROAS, LTV, and overall profitability. Optimization is the job, not a weekly check-in.

  • Cross-Channel Thinking: Look beyond single-channel results. Evaluate cross-channel impact and blended performance so decisions are made based on total business outcomes, not siloed metrics.

  • Budget Management: Manage ad spend responsibly. Pace budgets, reallocate based on performance, and proactively flag when spend is trending off-target before it becomes a problem.

2. Tracking, Data & Reporting

  • Tracking Setup: Set up and maintain tracking infrastructure: pixels, tags, UTM parameters, conversion events, and server-side tracking. Clean data is non-negotiable.

  • Attribution: Understand attribution models and their limitations. Be able to explain what the data says and what it does not say, so leadership can make informed decisions.

  • Reporting: Provide clear, actionable reports to leadership on a weekly and monthly cadence. Reports include what is working, what is not, and what you are doing about it. No vanity metrics.

  • Dashboard Management: Build and maintain dashboards that give leadership and cross-functional teams visibility into campaign performance without having to ask for updates.

3. Testing & Strategy

  • Testing Roadmap: Develop and run structured testing roadmaps covering creative, audiences, bidding strategies, landing pages, and offers. Document every test and its learnings.

  • Creative Collaboration: Partner with the Brand & Creative Director and design team to brief, test, and iterate on ad creative. Bring data-backed creative insights to the table, not just requests for more assets.

  • Funnel Alignment: Collaborate with the Meta, Funnels & AI Performance Coach to ensure landing pages, offers, and post-click experiences are aligned with campaign strategy. The ad is only as good as the funnel behind it.

  • Messaging Collaboration: Work with the Messaging & Copy Strategist to test and refine ad copy, hooks, and angles. Share performance data so copy decisions are informed by results, not guesswork.

  • Platform Expansion: As you prove mastery on Meta, proactively research and recommend expansion into new platforms. Come with a plan, not just a suggestion.

4. Collaboration & Communication

  • Cross-Functional Partnership: Work closely with marketing, sales, coaching, and creative teams. Share what you are seeing in the data, ask for context, and align on offers, messaging, and timing.

  • Proactive Updates: Keep leadership informed on campaign performance, risks, and opportunities. Do not wait to be asked. Surface insights early and often.

  • Platform Intelligence: Stay on top of platform changes, algorithm updates, best practices, and new advertising opportunities. Share relevant updates with the team so everyone benefits.

  • AI & Efficiency: Leverage AI tools to streamline reporting, automate repetitive tasks, and surface insights faster. Track hours saved and share workflows that work with the team.

5. Coachability & Continuous Learning

  • Training Program: Actively participate in our advertising training program. Use our curriculum, coaching calls, and resources to sharpen your skills and expand into new platforms.

  • Feedback Implementation: Receive coaching and feedback with an open mind. Implement it quickly. We hire smart people and then invest in making them better. Your willingness to learn is just as important as what you already know.

  • Ownership of Growth: Take responsibility for your own development. Ask questions, seek out new certifications, stay current on platform changes, and continuously improve your craft.

  • Knowledge Sharing: When you learn something that works, share it. When you make a mistake, share that too. We build each other up by being open about what we are learning.

KEY PERFORMANCE INDICATORS

Performance is measured monthly and reviewed quarterly. Primary KPIs are the business outcomes this role is accountable for. Secondary KPIs track the habits, processes, and collaboration that drive those outcomes.

PRIMARY KPIS

  • ROAS / Profitability

    • Hit or exceed target ROAS and blended profitability goals set each quarter. Specific targets vary by campaign and channel.

  • Cost Per Acquisition (CAC)

    • Maintain or reduce CAC quarter over quarter while scaling spend. Targets set per funnel and offer.

  • Lead Volume & Quality

    • Hit monthly lead volume targets with qualified leads that convert downstream, not just form fills.

  • Campaign On-Time Launch

    • 100% of planned campaigns launch on schedule with complete tracking, creative, and copy in place.

  • Budget Pacing

    • Monthly spend lands within 5% of target. No end-of-month scrambles or unplanned overages.

SECONDARY KPIS

  • Testing Velocity

    • At least 2 structured tests per platform per month (creative, audience, bidding, or landing page). All tests documented with results and learnings.

  • Reporting Cadence

    • Weekly performance reports delivered to leadership on time, every week. Monthly deep-dive reports delivered by the 5th of each month.

  • Tracking Accuracy

    • Zero major tracking gaps or broken events. Pixel health and conversion tracking audited monthly.

  • Cross-Functional Collaboration

    • Creative briefs submitted with data-backed rationale. Copy and funnel feedback shared at least biweekly with relevant team members.

  • Platform Expansion Readiness

    • Quarterly recommendation on new platform opportunities with projected budget, audience, and testing plan.

  • AI Efficiency

    • At least 2 AI-powered workflows adopted per quarter that measurably save time or improve output quality.

EXPERIENCE & QUALIFICATIONS

  • Experience: 5 to 7+ years of hands-on experience running paid media campaigns, including Meta Ads Manager plus at least one additional major platform (Google, YouTube, TikTok, LinkedIn, etc.).

  • Budget Management: Proven track record managing meaningful ad budgets and consistently hitting performance targets (ROAS, CAC, lead volume, profitability).

  • Analytical Strength: Strong analytical skills and fluency with ad platform dashboards, Google Analytics or GA4, and reporting tools. You read data, spot patterns, and make fast, high-quality optimization decisions.

  • Full-Funnel Expertise: Experience building and managing full-funnel campaigns from top-of-funnel awareness through conversion and retention, not just boosting posts or basic traffic campaigns.

  • Tracking & Attribution: Hands-on experience setting up pixels, conversion APIs, UTM structures, and server-side tracking. You understand attribution models and their blind spots.

  • Testing Discipline: Experience running structured A/B and multivariate tests on creative, audiences, landing pages, and bidding strategies with documented learnings.

  • Cross-Functional Collaboration: Experience working with creative, copy, and marketing teams to brief assets, align messaging, and improve campaign performance through collaboration.

  • In-House Preferred: In-house experience strongly preferred. We are not looking for someone who managed from a distance at an agency. We want someone who has been embedded in the business, owned the outcomes, and felt the results.

  • Bonus: Experience in online education, coaching, info-product, or creator businesses. Familiarity with VSLs, webinar funnels, challenge launches, and high-ticket offer structures.

WHO THRIVES IN THIS ROLE

  • Owner Mentality: You think like an owner, not a button-pusher. You care about the business outcomes, not just your ad account.

  • Optimization Obsessed: You understand that campaign setup is step one. Optimization is the job. You are in the data daily, not weekly.

  • Cross-Channel Thinker: You care about how each channel contributes to the overall business, not just your silo. You ask "What is the blended result?" before declaring a win.

  • Coachable: You are confident in your skills and humble enough to learn new ones. When someone gives you feedback, your first instinct is to try it, not defend your way.

  • Communicator: You share what you are seeing, ask for what you need, and keep people in the loop without being asked. Collaboration is how you work, not something you do when forced.

  • Builder: You are excited by the idea of building something from the ground up, not inheriting a machine someone else built. You want to shape the playbook, not just follow one.

WHAT SUCCESS LOOKS LIKE

Within your first 90 days, you:

  • Own Meta: Have taken full ownership of all Meta campaigns. You know the accounts inside and out, have identified quick wins, and are already optimizing toward CAC and ROAS targets.

  • Clean Data: All tracking, pixels, conversion events, and UTM structures are audited, clean, and reliable. You can explain exactly what the data says and where the gaps are.

  • Testing Underway: Have launched your first structured tests and are documenting results. The testing roadmap for the next quarter is drafted.

  • Integrated With the Team: Have built strong working relationships with the Performance Coach, Brand & Creative Director, and Messaging & Copy Strategist. Creative briefs are flowing. Data is being shared. Collaboration is natural, not forced.

  • Reporting Rhythm: Weekly and monthly reports are running on schedule. Leadership has visibility into performance without having to ask for it.

  • Expansion Plan: Have assessed at least one additional platform and presented a recommendation with projected budget, audience, and testing approach.

COMPENSATION & BENEFITS

  • In-person company events (2-3 times per year)

  • A culture built on high standards, collaboration, and results
