  • Interpret contract terms and work closely with project managers, site teams, and legal representatives when contractual issues arise.

Correspondence & Documentation

  • Review, log, track, and manage all incoming and outgoing project correspondence.
  • Draft contractual letters, coordinate reviews with project management and senior stakeholders, and ensure timely issuance.
  • Support the setup and oversight of document control systems.
  • Maintain comprehensive records including correspondence, meeting minutes, photos, and other relevant documents.

Meetings & Stakeholder Engagement

  • Participate in internal project status meetings, providing updates on claims, risks, and contractual matters.

  • Assist in organising workshops to enhance claim and change management awareness among project team members.

Reporting

  • Support project reporting requirements by contributing contractual insights and documentation.
  • Prepare monthly reports for senior management detailing Notices of Claim, active claims, change orders, key correspondence, and significant upcoming events.

Claims Management

  • Manage both incoming and outgoing claims throughout the project lifecycle.
  • For incoming claims: verify entitlement, collect supporting records, assess risks, and develop defensive strategies with the project team.
  • For outgoing claims: prepare claim notifications, compile substantiation, draft formal claim submissions, and support negotiation processes.
  • Ensure all claims are handled in accordance with contractual deadlines and requirements.

Dispute Resolution

  • Assist senior management and legal teams with dispute resolution processes, including document preparation and detailed investigation of contractual issues.

Project Acceptance & Closeout

  • Support the process of obtaining acceptance certificates and verifying that contractual deliverables have been fulfilled.
  • Ensure all contract administration records are properly archived after project completion.
