Job Summary

This position will begin with a strong focus on scheduling and coordination. As proficiency develops, additional responsibilities may be introduced based on the employee’s strengths, interests, and the needs of the department. These may include invoicing, billing support, reporting, process improvement, and other operational functions.

Key Responsibilities
  • Receive, review, and process incoming environmental testing work orders.
  • Contact homeowners and customers promptly to coordinate testing appointments.
  • Schedule and dispatch field technicians across multiple states and time zones.
  • Manage technician calendars and adjust schedules as priorities or availability change.
  • Maintain accurate job, customer, and scheduling information in JobNimbus.
  • Communicate appointment details, schedule changes, and job requirements with customers and technicians.
  • Monitor daily schedules and proactively identify conflicts, delays, coverage gaps, or technician capacity concerns.
  • Follow up on outstanding work orders and help ensure jobs continue moving through the testing process.
  • Coordinate with technicians regarding job status, documentation, samples, and other information needed by the office.
  • Provide administrative and operational support to the Testing Department and assist Jalisa with daily workflow.
  • Maintain professional communication with homeowners, clients, technicians, and internal teams.
  • Learn invoicing and billing processes as proficiency in scheduling develops.
  • Assist with reporting, documentation, and other operational responsibilities as the role grows.
  • Identify recurring workflow issues and communicate opportunities for process improvement to management.
  • Take ownership of assigned responsibilities while knowing when to escalate an issue or ask for assistance.
Qualifications
  • High school diploma or equivalent.
  • 1+ year of experience in scheduling, administrative support, customer service, dispatching, office coordination, or a similar role.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Comfortable communicating professionally with customers, field technicians, and internal team members.
  • Strong attention to detail and accuracy when entering and maintaining job information.
  • Ability to prioritize tasks and adapt when schedules or priorities change throughout the day.
  • Comfortable working with computers, web-based software, email, and multiple systems throughout the workday.
  • Ability to learn new software, processes, and industry terminology.
  • Reliable attendance and consistent communication with management and team members.
  • Ability to work independently, take initiative, and recognize when an issue needs to be escalated.
  • Willingness to ask questions, receive feedback, and continuously learn as the position grows.
Preferred Skills
  • Previous experience with scheduling, dispatching, or coordinating field service technicians.
  • Experience working in restoration, construction, environmental testing, home services, or another field-service industry.
  • Experience coordinating schedules across multiple locations, territories, or time zones.
  • Familiarity with CRM or job-management software; JobNimbus experience is a plus.
  • Previous experience with invoicing, billing, accounts receivable, or other basic financial processes.
  • Experience working directly with homeowners or customers in a service-based environment.
  • Strong problem-solving skills and the ability to identify potential scheduling or workflow issues before they become larger problems.
  • Experience working in a growing or fast-changing organization where processes continue to evolve.
  • Interest in developing additional skills in operations, billing, reporting, process improvement, or team leadership.
  • Comfortable suggesting improvements and contributing ideas to make workflows more efficient.
