Position Summary:

Are you organized and detail-oriented? We’re looking for a reliable Sales Assistant to support our sales and client management processes. This role is key in ensuring smooth communication with prospects and clients, maintaining our CRM, and keeping our sales pipeline organized and moving forward. If helping support and drive sales in an environment that focuses on leveraging cutting-edge AI to create meaningful, measurable impact and push boundaries, this role is for you.

Key Responsibilities:

  • CRM Management: Diligently update and maintain the HubSpot CRM and sales pipeline to ensure data integrity and process efficiency.
  • Follow-up Coordination: Establish and manage internal and client-facing reminders and follow-ups to maintain consistent engagement.
  • Event & Meeting Support: Provide comprehensive support for meetings and events, including preparation, professional introductions, and post-event follow-ups.
  • Strategic Research: Conduct thorough research on clients and events, managing all necessary signups and bookings.
  • Logistics & Scheduling: Oversee complex calendar management, scheduling requirements, and logistical arrangements.
  • Inbox Triage: Efficiently organize email inboxes, draft professional replies, send timely follow-ups, and proactively identify missed opportunities.
  • Correspondence Drafting: Pre-draft high-quality emails for review by the sales team to streamline communication workflows.
  • Presentation Support: Assist in the strategic preparation and creation of impactful sales presentations.

Skills & Qualifications:

  • Communication: Exceptional written and verbal English skills are required, including polished client correspondence and professional communication with US-based stakeholders.
  • Operational Excellence: Highly organized, reliable, and proactive in identifying missed opportunities and managing sales workflows.
  • CRM Proficiency: Previous experience with CRM systems, with a strong preference for HubSpot CRM management and pipeline maintenance. Skilled at using performance data and CRM dashboards to surface improvement opportunities and hold team accountable to sales metrics
  • Administrative Support: Proficient in handling complex inbox triage, calendar management, and conducting thorough strategic research.
  • Precision & Persistence: Extremely detail-oriented with a disciplined approach to internal and client-facing follow-up coordination.

  • Base Salary: $20,000 to $30,000 per year, depending on experience, qualifications and fit.
