Job Summary:
We are looking for a friendly, organized, and detail-oriented Front Desk Receptionist to join our physical therapy clinic. As the first point of contact for our patients, you will play a key role in creating a welcoming and professional environment while supporting daily administrative operations. This position requires excellent communication skills, the ability to multitask, and a genuine interest in patient care.
Key Responsibilities:
- Greet patients warmly and check them in for appointments
- Answer incoming calls, schedule/reschedule appointments, and manage the appointment calendar
- Verify insurance information and collect co-pays or payments at time of service
- Maintain accurate patient records and update contact or insurance details as needed
- Handle patient intake paperwork and ensure all forms are completed correctly
- Communicate professionally with physical therapists and other staff to ensure smooth clinic operations
- Maintain a clean, organized, and welcoming reception area
- Process incoming and outgoing mail and faxes
- Follow HIPAA guidelines to protect patient confidentiality at all times
Qualifications:
- High school diploma or equivalent required
- Prior experience as a receptionist, front desk associate, or administrative assistant (preferably in a healthcare or therapy setting)
- Knowledge of medical terminology, insurance verification, and patient scheduling is a plus
- Proficient with computer systems and basic software (Microsoft Office, EMR/EHR systems)
- Strong interpersonal and customer service skills
- Excellent organizational skills and attention to detail
- Ability to multitask and remain calm in a fast-paced environment
Hours
- Mornings - 8 am to 12 pm
- Tuesdays to Fridays
Preferred Skills:
- Experience with physical therapy or rehabilitation clinic workflows
- Familiarity with scheduling software (e.g., WebPT, Clinicient, or similar)
