Position Overview:
Thea Energy is seeking an organized, highly motivated Office Manager to manage ongoing internal operations and the Company’s facilities, including offices and labs. This candidate will be an integral part of the Thea Energy team and will interact with employees across technical, executive, finance, and operations teams as the Company rapidly scales. The Office Manager will create efficient, smooth-running operations across the Company and on-site at Thea Energy’s facilities.
The Thea Energy team is comprised of self-motivated, innovative, and collaborative individuals with an excitement for solving complex problems. This is a challenging position that requires a high degree of autonomy, and the ideal candidate must be able to move quickly.
Key Responsibility Areas:
Coordinate the day-to-day operations of Thea Energy’s Kearny, NJ headquarters
Provide flexible operational and administrative support across the Company’s tech, finance, strategy, and operations functions
Ensure that Company facilities are maintained in professional and working order, and equipped with necessary supplies and equipment
Provide hands-on support with Company infrastructure, inventory, and supplies
Facilitate additional operations support with vendors, services, and other external contractors
Support the Company’s management team and assist in special projects as needed
Execute Company purchasing from technical and non-technical vendors
Coordinate daily office lunch orders
Collaborate with Facilities Manager on various Company operations
Collaborate with Marketing and Communications on ordering company swag and corporate events logistics
Identify areas for process improvement and efficiency enhancement
Act as the face of Thea Energy at the reception area ensuring guests have a positive experience
Receive and distribute mail and deliveries
Greet candidates and ensure conference room technology set up
Execute interview scheduling including booking conferences rooms and sending out agendas
Manage new employee onboarding and logistics including:
Send new hire welcome emails
Coordinate new hire buddy program
Collaborate with the managers on new hire desk assignments
Collaborate on employee engagement activities and employee resources groups
Coordinate new hire orientation
Assist with intern program

- 5+ years of relevant work experience
Office management and administrative experience
Proficiency in Excel, PowerPoint, and Google Suite
Strong communication and collaboration skills
