About the Role

Sygaldry is looking for a highly organized, proactive, and resourceful Office Manager / Executive Assistant to support our growing San Francisco office.

This is a hands-on role for someone who enjoys creating structure, anticipating needs, and making things run smoothly. You will own the day-to-day operations and experience of the San Francisco office while providing executive support to members of our leadership team.

We’re looking for someone who can move comfortably between managing the details of a high-functioning office and supporting fast-moving executives—someone who notices what needs to happen, takes ownership, and follows through. You create an environment where executives and employees can focus on their work because the details around them are handled thoughtfully and reliably. You ensure our visitors have a great experience and that operational needs are anticipated rather than simply reacted to. This role will grow into a trusted partner to the team and take on increasing ownership as Sygaldry continues to grow.

What You'll Do

Executive Support

  • Provide day-to-day administrative and operational support to Co-founder

  • Manage calendars, scheduling, and meeting coordination across internal and external stakeholders

  • Coordinate domestic and international travel, including flights, hotels, ground transportation, and itineraries

  • Help executives prioritize their time by proactively identifying scheduling conflicts, dependencies, and follow-ups

  • Coordinate meetings, including logistics, materials, and other preparation as needed

  • Handle sensitive and confidential information with discretion and sound judgment

  • Anticipate needs and proactively solve problems before they become blockers

Office Operations

  • Own the day-to-day operations of the San Francisco office and ensure it is organized, welcoming, and running smoothly

  • Serve as the primary point of contact for office-related needs, vendors, building management, and facilities

  • Manage office supplies, food and beverage programs, deliveries, maintenance, and other workplace services

  • Coordinate office access, workspace needs, and operational logistics in partnership with the appropriate internal teams

  • Support new-hire onboarding and offboarding logistics for the San Francisco office

  • Identify opportunities to improve office processes and create simple, scalable systems as the team grows

  • Maintain a high standard for the overall office environment and employee experience

Team & Company Support

  • Coordinate on-site visits for candidates, investors, partners, and other guests

  • Support leadership meetings, company gatherings, and special events in San Francisco

  • Partner closely with Operations, People, Finance, IT, and other teams across Sygaldry

  • Help connect the San Francisco office with the broader company and create a consistent employee experience across locations

  • Take ownership of special projects and operational needs as they arise

  • Willingness to be hands-on and step in wherever needed

  • Comfortable building processes where they don't yet exist
