The Manager – Procurement will be responsible for managing the end-to-end procurement cycle for goods and services, ensuring transparency, value for money, and adherence to organisational procurement policy. The role does not carry independent sign-off authority for high-value purchases; approvals rest with the designated recommending and approving authorities . This position supports the procurement function under the guidance of senior finance/administration leadership.

 

Key responsibilities:

 

Procurement & Vendor Management

·         Manage end-to-end procurement processes, including sourcing, tendering, vendor evaluation, quotation analysis, purchase order issuance, and contract administration.

·         Maintain vendor databases, support vendor empanelment, and assist in contract negotiations and renewals.

Procurement Operations & Coordination

·         Coordinate with internal departments to understand procurement requirements, ensure budget availability, track purchase orders, monitor deliveries, and facilitate timely vendor payments.

Compliance, Documentation & Audit

·         Ensure procurement activities comply with organizational policies, donor requirements, and statutory regulations.

·         Maintain complete, accurate, and audit-ready procurement records and support internal and external audit processes.

Reporting & Process Improvement

·         Prepare procurement MIS reports, dashboards, and management reports.

·         Monitor procurement performance, identify cost-saving opportunities, and recommend process improvements to enhance efficiency and value for money.



Requirements

Qualifications & Experience:

·         Bachelor's degree, preferably in Commerce, Business Administration, or a related field

·         Proficiency in MS Excel, including pivot tables, VLOOKUP/XLOOKUP, and dashboard preparation.

·         3–6 years in procurement, purchase, or vendor management

·         Strong vendor negotiation and written/verbal communication skills.

·         Familiarity with AMC, and contract renewal processes.

·         Sound knowledge of procurement policies, tendering processes, and basic statutory compliances (GST and TDS)

·         High attention to detail and discipline in documentation and record-keeping.

·         Prior experience in the development/non‑profit/ humanitarian sector will be preferred.

·         Proven ability to work with cross-functional teams and drive strategic initiatives.

·         Strong communication, facilitation, and stakeholder management skills.

·         Good presentation and PR skills

·         Should be sensitive to the cause of the organisation

Skills Required
