ABOUT QUANTUMLOOPAI

QuantumLoopAI is one of the UK's fastest-growing healthtech companies. Our AI-powered platform, EMMA, is used by hundreds of organisations across the UK to manage communications, automate workflows and deliver better outcomes through intelligent automation. Backed by leading investors and scaling rapidly ahead of our Series A, we are building the infrastructure that will define the next generation of AI-driven service delivery.

ABOUT THE ROLE

We are looking for a Junior Admin Operations Associate to support the day-to-day operations behind our AI platform. This role is ideal for someone at the start of their career who enjoys structured, detail-focused work, has strong English comprehension, and is curious about how AI-enabled systems work in practice.

You do not need previous experience — we will train the right person. What matters is that you are naturally organised, accurate, reliable, and genuinely interested in learning. You will work with a cross-functional team to keep operations running smoothly and help us improve the way we work over time.

WHAT YOU WILL DO

  • Support the day-to-day operational tasks that keep our platform services running reliably and consistently.
  • Follow structured, rule-based processes carefully and help keep them running smoothly.
  • Keep operational records, documentation and trackers accurate, organised and up to date.
  • Check your work and records for accuracy and completeness before they are finalised.
  • Coordinate with internal teams so requests, updates and follow-ups are handled smoothly and on time.
  • Spot and raise process gaps or inconsistencies clearly, and follow internal steps to get them resolved.
  • Contribute feedback and ideas to improve processes, wording and ways of working over time.
  • Maintain a high standard of attention to detail across recurring operational activities.

Requirements

ESSENTIAL

  • Strong English reading and writing comprehension — you can follow written instructions precisely, draft clear updates, and communicate confidently in UK English.
  • High attention to detail and a structured, logical approach to work — you naturally spot errors and inconsistencies.
  • Comfortable following step-by-step processes and working with rule-based workflows.
  • Genuine interest in AI, automation, or modern technology products — basic familiarity is enough, enthusiasm to learn is what matters.
  • Quick learner with good problem-solving and communication skills.
  • Confident using computers and everyday digital tools (email, spreadsheets, documents, messaging).
  • Comfortable working remotely and aligning to UK business hours (9:00 AM to 6:00 PM GMT/BST).

DESIRABLE

  • Any exposure to operations, customer support, administration, or process-driven environments.
  • Familiarity with documentation, data entry, or structured record-keeping work.
  • Comfort working with structured data or simple dashboards.
  • Experience using tools such as Excel, Google Sheets, CRMs, or project management platforms.
  • Experience working in a startup or fast-paced business environment.

LOGISTICS

  • Education: We value skills and aptitude over formal qualifications. Previous experience is not essential — we will train the right person.
  • Working arrangements: Fully remote from India, aligned to UK business hours (9:00 AM to 6:00 PM GMT/BST).
  • Start date: Flexible.

Benefits

WHAT WE OFFER

  • Competitive package depending on experience
  • Potential share options
  • Full training on all systems and processes — no prior experience required
  • Professional development including conference attendance and CPD support
  • The opportunity to join one of the UK's fastest-growing healthtech companies at an early stage
  • Remote working with a collaborative, supportive team
  • Clear room to grow as the company scales

HOW WE ARE DIFFERENT

At QuantumLoopAI, you will join a team that is building AI-powered products used by hundreds of organisations across the UK. We move fast, take ownership, and celebrate wins together. Our culture values:

  • Impact over optics. We measure success by real outcomes, not busy work
  • Transparency. Open communication, honest feedback, shared context
  • Ownership. You will have real autonomy to shape your work and our platform
  • Learning. We are building something new, and we learn from every experiment

This role is ideal for someone at the start of their career who wants to learn how modern technology operations really work — from the inside, not from a textbook. You will build strong foundations in process management, operational accuracy and cross-team coordination, all within a fast-growing AI company.

DIVERSITY AND INCLUSION

We believe diverse teams build better products. We welcome applications from candidates of all backgrounds, and we are committed to creating an inclusive environment where everyone can do their best work. If you are excited about this role but do not meet every requirement, we would still love to hear from you.

What We Do

QuantumLoopAI has built EMMA™, the first DTAC-certified AI receptionist for NHS GP surgeries. EMMA™ answers every patient call instantly, eliminates phone queues, and gives healthcare teams their time back. Anyone who's called their GP knows the frustration—engaged tones, long holds, the dreaded 8am rush. For patients, it's a barrier to care. For reception teams, it's relentless pressure and burnout. This isn't just inconvenient—it's broken. EMMA™ handles unlimited calls simultaneously. She books appointments, manages prescription requests, and triages concerns—all in natural conversation across all major NHS languages. Every interaction integrates seamlessly with existing NHS systems. Patients get instant access. Reception teams focus on meaningful patient care instead of managing phones. GPs receive richer clinical information because EMMA™ never abbreviates or misses details. We developed EMMA™ in partnership with NHS GPs, practice managers, and patients. This isn't a generic chatbot—it's purpose-built for UK primary care with proper clinical safety protocols and DTAC certification. EMMA™ is transforming patient access in GP surgeries across the UK, supporting healthcare teams and improving how patients connect with their practices. Join us and help build the future of primary care access.

Why Work With Us

We're solving a problem millions experience daily—accessing GP care. EMMA™ is live in primary care, genuinely improving healthcare delivery. You'll do meaningful work that helps real patients and supports exhausted healthcare teams. Join our fast growing startup and build your career while improving UK healthcare.
