What You Will Do:
As the Front Desk Representative, you will be the first point of contact for visitors, staff, and clients, ensuring a professional and welcoming environment. You will manage reception duties, answer and direct calls, handle mail and deliveries, maintain office and breakroom supplies, and keep shared spaces organized. You will also provide administrative support to senior leaders, including scheduling, preparing documents, coordinating travel, and assisting with projects. In addition, you will plan and support company-wide events, oversee catering needs, and ensure proper use of company resources. This role requires maintaining confidentiality, supporting daily office operations, and representing KCAV with professionalism at all times.
📞 Front Desk & Office Support
Welcome visitors, answer and direct calls, and provide office/customer support.
Manage mail, deliveries, supplies, and reception/common areas.
Handle catering, copier maintenance, and general clerical tasks.
🗂️ Executive & Administrative Support
Assist senior leaders with scheduling, travel, document preparation, and reports.
Support human resources projects and maintain confidentiality.
Manage company credit card use and provide accurate documentation.
🎉 Event & Company Support
Plan and coordinate company-wide events and off-site meetings.
Maintain a professional image in appearance, communication, and conduct.
Comply with KCAV policies, procedures, and safety requirements.
What We’re Looking For:
High school diploma or equivalent required.
3+ years of administrative support or office management experience.
Proficiency with Microsoft Office Suite and standard office equipment (copiers, printers, postage machine).
Strong verbal and written communication skills in English.
Excellent organizational skills and attention to detail; able to work independently.
Ability to maintain confidentiality and exercise discretion with sensitive information.
Valid driver’s license with acceptable driving record.
Ability to pass a background check, including pre-employment drug screening.
