Job Description:
We are currently searching for an executive assistant who will provide executive-level administrative support to our Chief Legal Officer.
This position requires strong organizational skills, an extremely proactive nature, resourcefulness, and creative problem-solving skills with a willingness to go the extra mile to solve any issue. This assistant must anticipate needs and facilitate the smooth operation of the entire team. This person must possess the ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.
This position will follow a hybrid schedule of 3 days in our office (Tuesdays, Wednesdays, and Thursdays) based in Centennial CO and 2 days from home.
What you'll be doing
- Organize and manage complex calendar schedule(s) for one or more managers, maintaining executive's agenda and assisting in planning appointments, conferences, etc.
- Act as a liaison between the CLO, internal departments, outside counsel, and other stakeholders.
- Screening telephone calls, enquiries and requests, and handling them when appropriate.
- Prepare responses to correspondence containing routine inquiries.
- Provide travel arrangements and prepare expense reports.
- Provide support for departmental events, quarterly events, and recognition as well as coordinating activities across the department, events, conferences, plans and organizes the events, prepares agendas, coordinates all logistics.
- Maintain office management procedures and departmental and legal policies.
- Organize and attend meetings, often taking minutes, and ensure that CLO is well-prepared for meetings; collect agenda items, take minutes for important business meetings, note action items with assigned owners, share with the necessary stakeholders, and follow up as needed.
- Pursue opportunities to improve efficiencies through process improvements, new tools, collaboration, etc.
- Assist with preparations for Board meetings, including drafting agendas, preparing board packets, and facilitating communication with Board members.
- Prepare, review, and edit documents, reports, and presentations.
- Assist with the budget for the legal department, including tracking expenses, processing invoices, and preparing budget reports.
- Managing CLE and professional development opportunities for the CLO.
- Assist with various special projects as needed.
What we're looking for
- Minimum of five years of prior work experience as an executive assistant
- Bachelor's degree preferred
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Project management skills and being able to handle team initiatives from start to finish (i.e. self-starter)
- Ability to create, review, and edit material on behalf of leaders with limited oversight
- Advanced written and verbal communication skills, including the ability to proofread documents and presentations
- Proficiency in Microsoft suite of tools - Teams, Word, Excel, and PowerPoint
- Ability to maintain strict confidentiality of all information related to the leader and organization

Annual Hiring Range/Hourly Rate:
$42.30 - $51.70
Actual compensation offer to candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level. The pay ratio between base pay and target incentive (if applicable) will be finalized at offer.
