Executive/Administrative Assistant

SUMMARY

Organizes office operations and procedures including but not limited to schedule/calendar management, information management, filing systems, supplies, scanning, etc.

DUTIES AND RESPONSIBILITIES: (include but not limited to)

General Office:

  • Performs general clerical duties including but not limited to filing, photocopying, faxing, typing, and mailing.
  • Answers, screens, and directs incoming telephone calls
  • Greet office visitors/clients/employees
  • Take messages
  • Transfer telephone calls
  • Respond to requests for job information
  • Respond via email and/or phone to job applications, calls and emails
  • Update and track certifications & process re-certifications
  • Update websites for small business registrations
  • Track, order & manage inventory & equipment
  • Sorts and distributes internal and external mail.
  • File employee paperwork
  • Database management
  • Assist with payroll/bookkeeping

SUPERVISORY RESPONSIBILITIES:

  • Occasionally/Frequently/Continually required to sit
  • Occasionally/Frequently/Continually required to utilize hand and finger dexterity

  • Occasionally/Frequently/Continually utilize visual acuity to operate equipment, read technical information, and/or use a keyboard

Salary $13-$16/hr + benefits

Salary: $13.00 to $16.00 /hour

Qualifications

QUALIFICATIONS:

  • Minimum of 2 years office administrative experience
  • High school graduate some college or AA degree preferred.
  • Basic competence in administrative duties and tasks
  • Highly organized
  • Ability to understand and follow written and verbal instructions
  • Excellent verbal and written communication skills.
  • Understanding of ADP and payroll processes
  • Keystroke a minimum of 40 wpm.
  • Commitment to excellence and high standards.
  • Acute attention to detail.
  • Ability to understand and follow written and verbal instructions
  • Strong organizational skills.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • Must be able to speak, read, write, and understand the primary language(s) used in the workplace.
