Position Description

Sensei Ag’s Legal Team is seeking a highly organized and detail-oriented individual to join us as a Contracts AdministratorThis is a hybrid, full-time role that will require working on-site (2-3 days per week) on an as-needed basisIdeal candidate will reside within 20 miles of Santa Monica.   

Our ideal candidate is someone with experience supporting the legal function with commercial contracts and vendor agreements, including updating and maintaining contract management lifecycle workflows, facilitating electronic signatures via DocuSign, and maintaining legal archives and performing administrative support duties. 

Responsibilities

  • Engage professionally and provide support to the Legal Team. 
  • Review digitized office mail and distributing incoming mail to the appropriate departments or individuals. 
  • Manage limited aspects of Company airplane reservations; review maintenance requests and coordinate authorizations. 
  • Respond to inquiries from colleagues and directing inquires to appropriate personnel. 
  • Draft, edit, and proofread forms, letters, and other documents; input and update information in databases and spreadsheets. 
  • Work with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations. 
  • Ensures that deadlines are met and adapts to changing priorities. 
  • Presents a positive and professional image for the organization. 
  • In conjunction with corporate legal requirements, provide training to internal clients on legal contract process, procedures and templates. 
  • Work with external lawyers in various specialty areas and in-house counsel to coordinate review of contracts. 
  • Facilitate signatures on contracts via DocuSign. 

Minimum years of experience required 

  • Minimum of 3 years of experience in commercial contract and vendor agreement administration and administrative support. 

Required Skills, Abilities and Qualifications

  • Experience handling contract-related matters in a corporate setting, working as a paralegal, or in a similar legal support role. 
  • Proficiency in DocuSign, Adobe Acrobat Pro and Zoom. 
  • Must have experience working with executive management. 
  • Designing standardized language and guidelines for contracts. 
  • Reviewing contracts for compliance with language guidelines. 
  • Reviewing contracts, verifying accuracy and resolving discrepancies in line with company rules and guidelines. 
  • Ensuring relevant documentation accompany contracts and maintaining digital and hard copies of relevant documentation. 
  • Liaising between parties regarding contract development, and negotiations regarding terms and conditions, and drafting and revising changes as required. 
  • Identifying potential risks contract changes may pose to company. 
  • Excellent reading and comprehension skills. 
  • Proficient ability to detect errors and inconsistencies. 
  • Proficient knowledge of legal requirements pertaining to relevant contracts. 
  • Strong organizational and time management skills. 
  • Excellent communication and interpersonal skills. 
  • Ability to maintain confidentiality and handle sensitive information. 
  • Must be detail-oriented and produce high-level, quality work-product. 
  • Self-motivated, strong work ethic, and requires minimal direction to meet goals and objectives. 
  • Strong analytical and problem-solving skills. 
  • Microsoft Office Suite skills: must be an expert in Microsoft Office and proficient in Microsoft Outlook, SharePoint, Excel and PowerPoint. 

Preferred Skills, Abilities and Qualifications

  • Experience in a family office (private investment office) environment. 
  • Experience with Wrike and Slack. 
  • Flexible, agile, and able to pivot as needed. 
  • Deep interest in food and the produce industry. 

Educational Requirements

  • Bachelor’s degree from an accredited higher learning program required. 
  • Paralegal Certificate, CCCM, or CPCM Certification, J.D. or related experience preferred.
