Contract Administrator

Department: Customer Service

Job Summary:

The Contract Administrator manages the intake, preparation, review coordination, execution, and organization of sales, leasing, containers, and other commercial contracts for our modular construction business. Working collaboratively with the Senior Contracts Administrator and internal stakeholders, this role owns routine contract administration and preliminary reviews, escalates material risks, and supports timely contract completion. The ideal candidate is detail-oriented, comfortable managing multiple priorities independently, and eager to develop deeper contract review and negotiation expertise.

Key Responsibilities:

  • Prepare, assemble, proofread, and coordinate sales and leasing agreements, exhibits, amendments, and supporting documentation for modular construction projects.
  • Manage contract intake and upload complete documents into the AI-powered contract repository; validate preliminary AI findings, flag unfavorable terms and potential risks to Wilmot, and summarize issues for further review by the Senior Contracts Administrator.
  • Use approved AI and document comparison tools to support first-pass reviews, identify missing or inconsistent information, and improve efficiency; independently verify outputs and escalate uncertain findings.
  • Review routine contract terms, scope, pricing references, schedules, and attachments for completeness and discrepancies; coordinate corrections before finalization.
  • Prepare and redline contract language, amendments, and customer-requested revisions using tracked changes and escalate nonstandard terms or material negotiation decisions for approval.
  • Interact directly with customers as a primary point of contact for contract questions, requested revisions, status updates, outstanding information, and signatures; resolve routine issues and maintain timely, professional communication.
  • Collaborate with the Senior Contracts Administrator, Director of Process & Customer Excellence, and COO on escalated terms, contract exceptions, and required approvals.
  • Maintain accurate, searchable contract records, version histories, redlines, approvals, and fully executed documents in designated systems.
  • Track contract status, outstanding actions, signature requests, amendments, renewals, and key deadlines; proactively follow up to prevent delays.
  • Coordinate with Sales, Sales Administration, Project Management, and Operations to confirm contract requirements and support accurate handoffs after execution.
  • Provide outstanding service to clients and internal teams by promptly addressing questions and ensuring a seamless contract process.
  • Maintain contract tracking logs and provide clear status reporting on volume, turnaround times, open issues, and pending approvals.
  • Recommend improvements to AI procedures/reviews, intake checklists, templates, repository practices, and contract workflows; pursue cross-training and progressively more complex reviews.
Qualifications

Qualifications:

  • 2–4 years of contract administration, paralegal support, or comparable commercial agreement experience; construction industry experience preferred.
  • Experience preparing, reviewing, tracking, or coordinating commercial contracts; exposure to construction, modular leasing, or sales agreements is a plus.
  • Proficiency in Microsoft Word (including redlines and document comparison), Microsoft Office, and electronic contract or document management systems; willingness to learn AI-assisted review tools.
  • Strong proofreading, document comparison, attention to detail, and ability to identify inconsistencies and escalate potential contractual risks.
  • Excellent organizational skills and the ability to maintain accurate records in a fast-paced environment.
  • Exceptional verbal and written communication skills for client interaction and internal collaboration.
  • Working knowledge of commercial contract terminology and a demonstrated interest in developing contract review and negotiation skills.
  • Have a solid work ethic that includes doing the right thing, being reliable, trustworthy and honest.
