OVERVIEW

BMWC is an industrial construction company seeking an experienced Administrative Coordinator to join the team. This position plays a key role in supporting the Corporate Fleet and Transportation Manager and assisting the Fleet, Equipment, and Safety Departments through accurate recordkeeping, reporting, compliance tracking, and administrative and operational coordination.

The Administrative Coordinator is responsible for maintaining departmental records, supporting audits and compliance activities, preparing reports and presentations, and coordinating communication between internal teams, vendors, and external partners. This role is ideal for a highly organized, detail-oriented professional who can manage multiple priorities in a fast-paced environment while helping improve processes, maintain regulatory compliance, and support efficient fleet and departmental operations.

RESPONSIBILITIES

As an Administrative Coordinator, you will:

  • Provide administrative support to the Corporate Fleet and Transportation Manager and assist the Fleet, Equipment, and Safety Departments.
  • Perform daily administrative functions, including scanning, indexing, filing, data entry, record maintenance, copying, and document distribution.
  • Coordinate communication and information sharing between departments, employees, vendors, and external business partners.
  • Maintain electronic and physical records in accordance with company policies and retention requirements.
  • Maintain fleet documentation, including registrations, licenses, inspections, maintenance records, and asset information.
  • Support safety and compliance activities by maintaining training records, audit documentation, inspection reports, and related files.
  • Prepare reports, presentations, charts, graphs, and other business communications.
  • Generate and analyze departmental data using Microsoft Excel, Power BI, and other reporting tools.
  • Support internal audits and compliance initiatives through accurate documentation and record management.
  • Identify opportunities to improve processes, increase efficiency, and support the implementation of best practices.
  • Perform additional duties and special projects as assigned.

REQUIREMENTS AND QUALIFICATIONS

  • High school diploma or GED required; associate degree or post-secondary education preferred.
  • 5+ years of professional administrative support experience.
  • Experience maintaining records, managing databases, and coordinating departmental reporting.
  • Experience supporting fleet, transportation, equipment, safety, compliance, or audit functions is preferred.
  • Experience supporting multiple locations or remote workforces is preferred.
  • Proficiency with Microsoft Office, including Excel, PowerPoint, Word, and Outlook.
  • Experience with Power BI, dashboard development, or fleet and compliance software is preferred.
  • Strong data entry, records management, organizational, and time management skills.
  • Strong written and verbal communication skills with the ability to work effectively across departments and with outside partners.
  • Strong attention to detail, professionalism, confidentiality, and a customer service mindset.
  • Ability to manage multiple priorities, solve problems, and work independently while contributing to a collaborative team.
