Purpose of Position:

The Administrative Assistant is responsible for supporting the offices of the Dean of Academics, the Vice President of Academic Affairs, and the faculty. The Administrative Assistant will collaborate with faculty, staff, and external partners to support communications, coordinate events, manage facilities processes, and deliver essential administrative services.


Job Responsibilities:

  • All LPTC employees must carry out duties designed to successfully support the position’s/department’s/organization’s key performance indicators, goals, objectives, and

strategic initiatives.

  • All LPTC employees must know and follow job safety procedures, attend required health and safety training, proactively promote workplace safety, and promptly report actual and potential accidents or injuries.
  • Assist the V.P. of Academic Affairs and Dean of Academics with the administration of the department, including but not limited to preparing and proofing correspondence, helping to ensure that college administrative deadlines are met, helping to coordinate class scheduling, establishing databases as needed, coordinating travel, assuring adherence to standards, maintaining department’s files, and creating forms for intradepartmental use.
  • Assist faculty by answering questions, providing information, locating desired information and materials, and handling correspondence and other general administrative duties.
  • Assist students by determining who can best provide the information needed by the student, providing basic and initial assistance.
  • Helps organize and conduct departmental events.
  • Supports the department's administrative business functions by organizing the faculty evaluation process, maintaining, and updating the departmental website or databases, , scheduling the use of classrooms and department facilities, and maintaining the security of  records.
  • Assist with scanning, filing, and other office tasks.
  • Prepare reports, memos, letters, and other documents using word processing, spreadsheets, and database programs.
Qualifications

Required:

  • An associate degree with 2+ years of  relevant experience; or an equivalent combination of education and experience accepted.
  • Computer literacy is required, proficient with the Microsoft Suite.
  • Must possess and be able to maintain a valid operator’s license with an acceptable driving record to be an approved driver.
  • Must be able to meet and maintain all organizational, local, state, tribal, and federal licensing and training requirements associated with this position.
  • Capable of coordinating efforts and collaborating with other departments or external agencies.
  • Ability to work independently with minimal guidance but supportive supervision, and as part of a team.
  • Strong communication skills (oral, written, and presentation if applicable).
  • Strong interpersonal skills, diplomacy, and flexibility to work effectively with administration, faculty, staff, students, and the public. The ability to handle confidential or sensitive information.
  • Ability to stay organized with high attention to detail and accuracy while multi-tasking

 

Preferred:

  • Experience working in tribal organizations, in Native American communities, for a Tribal College or University.
  • General Knowledge of higher education policies, practices, and procedures
  • Transferable work experiences

 

Travel: Occasional travel may be required.

  • This is a 100% on-site position.
  • Must pass a pre-employment criminal background screen.
  • Must be able to pass a drug screening.
  • Must have a valid driver’s license and be insurable under our insurance.
