WORK SCHEDULE
Monday through Friday 8:00 am to 5:00 pm
JOB SUMMARY
Serves as an academic coordinator (administrative assistant) to the VPAA for the College of Undergraduate Studies (CUGS) and to the General Education Director, works as an effective, positive team member in supporting all activities and responsibilities of the Office of Academic Affairs, and contributes to a culture of Christlikeness, excellence, belonging, integrity, and service.
RESPONSIBILITIES
Essential Functions:
- Provides administrative help to the VPAA-CUGS and to the General Education (Gen Ed) Director.
- Communicates with faculty, staff, students, parents, and stakeholders on behalf of Academic Affairs.
- Collaborates with HR and Department Chairs in the hiring of CUGS adjunct faculty including interviewing, credentialing, and new adjunct faculty orientation.
- Prepares and monitors fulltime faculty overload and adjunct faculty teaching agreements.
- Maintains CUGS records of faculty workload and student credit hours generated.
- Works with Financial Aid to track eVerification each semester.
- Tracks attendance taking and works with Department Chairs to support consistent attendance reporting practices.
- Assist with timely textbook adoption with the campus bookstore.
- Communicates with faculty to collect and organize artifacts for the Gen Ed Council’s review and assessment.
- Collaborates with the Gen Ed Director to input Professional Studies (PS) course schedules into the Colleague CRM and works with the Registrar’s Office and PS Student Services to manage enrollment and access for CUGS students in PS courses.
- Assists the Associate VPAA-CUGS in Concurrent Enrollment, particularly as it relates to offering General Education courses to high school studies.
- Maintain paper and electronic student records, manage social media and scholar communication, support program event planning, and other tasks related to the McNair Scholars program.
- Reconciles monthly purchase card statements for supervisor(s).
- Researches and prepares data for special projects as assigned.
- Plans and coordinates special events (Honors Ceremony, luncheons, workshops, etc.) as assigned.
- Other duties as assigned.
Required Qualifications:

- Associates degree or equivalent
- Minimum of two years of related work experience and/or relevant training
- Possess strong verbal and written communication skills
- Ability to prioritize multiple demands in timebound work environment and can juggle multiple projects at the same time
- Experience with various computer software applications including Microsoft Office and Google Suite as well as competency in spreadsheets, merge functions, and shared drive systems
- Data entry experience
- Typing, spelling, and grammar competency
Preferred Qualifications:
- Bachelor’s degree
- Experience in higher education
Supervision Received:
Receives supervision and work assignments from a designated supervisor, although other staff members in the unit may provide work direction.
Supervision Exercised:
May be responsible for the coordination of work assignments for student employees.
