In this role you will coordinate activities, initiatives and events across the Accounting organization and support the management team with a wide range of tasks. The group consists of around 95 accountants, all working in different fields of accounting. As Accounting Coordinator, you will have a wide range of responsibilities and not a single day will be the same. You will act as the main point of contact for all accountants on a wide range of topics. If you are a driven multi-tasker who enjoys working with both people and numbers in a dynamic and fast-paced environment, then you are the Accounting Coordinator we are looking for!

Your main tasks and responsibilities:

  • Support and coordinate team events and initiatives.
  • Coordinate activities related to onboarding of new employees (welcome packages, intro meetings, Buddy program, HR meeting).
  • Coordinate general team communications and content on e.g. the HUB intranet and Viva Engage communication platform.
  • For T&E (Travel and other credit card Expenses), be the point of contact for the assistant group, own the T&E report review process and cooperate with Accounts Payable on query handling and admin tasks.
  • Manage the travel arrangements and expense reports for senior management and be the process owner for the whole Accounting team and visitors.
  • Ensure the hybrid workplace to work effectively. For any workplace related topics, coordinate across teams and collaborate with Reception, HR and other functions. Be the spokesperson for Accounting related office and workplace matters.
  • Support different accounting teams with ad hoc administrative tasks.
  • Manage the invites and calendars for high-participant and cross-functional meetings.

  • Requires three years’ experience in administrative role or related field and/or training
  • Must be fluent in English
  • Ability to carry out specific oral and written instructions
  • Execute responsibilities with a sense of urgency and follow-through
  • Ability to collaborate with operations, accounting and other team members to complete various projects and assignments 
  • Excellent customer service and interpersonal skills. Proven ability to communicate via email with customers, vendors, and internal teams 
  • Ability to use computer software and web-based applications
  • Demonstrated ability to manage multiple projects and tasks daily with efficiency and accuracy
  • Ability to organize and prioritize work assignments to meet deadlines
  • Proficient knowledge of the Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Outlook)
  • Positive, proactive work ethic and approach
  • Show tact, discretion, confidentiality and good judgement in handling sensitive and confidential matters and documentation
