Role Summary:
The main responsibilities for the Documentation Executive position will involve complying with the import & Export documentation procedures of authorities and Customs at the same time adhering to policies and procedures, to assist clients in having a smooth operation in taking delivery of their cargo. This should be done while extending quality services to Principals.

Key Responsibilities:
Manifests
- Ensuring timely manifests are received from load ports and if not following up with them for the same.
- Processing of principal container manifests in the system and downloading the same into ships
- Processing other manifests Principals by entering the details manually.
- Checking the manifest by printing the same to ensure that each and every shipment is updated. Incase of any discrepancies, liaising with load ports before lodging of the manifests.
- Editing the manifest by amending any incorrect information from the manifest and updating any incorrect coding.
- Reprinting the manifest for second check by a documentation colleague
- Presenting the re-checked manifest to the Supervisor for a final check / approval of the same
- Check all correction advises received from port of loading and update all the necessary corrections in the manifest.
- Filing the manifest and submitting the hard copies of the same.
Arrival notices
- Once the manifest is complete, printing and sending checked original arrival notices.
CFS Release Orders
- Printing of CFS release orders and submitting same to the relevant CFS operator for arrangement preparation before vessel arrival. A copy is then dispatched to the Port Authority.
Invoicing
- Checking and preparing charges followed by printing invoices for the entire manifest for approval and signing by the Commercial team.
- Updating these charges in the system.
- Once hard copies are signed off, dispatching the originals to customer service / counter, and the yellow copies to accounts.
Rebates
- Timely preparation of rebates for PCC carriers and sending to the CFS operators for approval and subsequent payment.
Candidate Requirements:
- 1-3 years hands on experience in the same function within a shipping agency/Logistics /Maritime domain.
- Proficiency in MS Office application (word, excel, outlook, PowerPoint, etc.) and related internal systems.
- Knowledge of customer base and their requirements.
- Good knowledge of Shipping industry.

Skills Required
- 1-3 years hands-on experience in documentation within a shipping agency, logistics, or maritime domain
- Proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint) and related internal systems
- Good knowledge of the shipping industry and customer requirements
- Ability to prepare and process manifests, arrival notices, CFS release orders, invoices and rebates
