Processing work orders, sending audit reminders, updating reports, handling invoice inquiries, resolving client issues, and other administrative tasks related to client support services.

RESPONSIBILITIES

  1. Processes work orders from clients including enters work order to Qualtrax (QT) on a daily basis
  2. Sends starter kits to suppliers; provide quotation; obtain audit requests from suppliers/ facilities.
  3. Sends weekly audit and payment reminders to suppliers. Address and follow up on payment issues.
  4. Maintains Cosmos (or other portals) updated with the information and details of the reminders (dates) and of the action plan review process.
  5. Generates status reports for clients. Ensures delivery of client specific reports (weekly, bi-weekly, monthly), as needed to clients.
  6. Upon payment receipt, updates payment tracking reports.
  7. Handles all invoice inquiries made by billable parties
  8. Works with CS to ensure the entire set of document/ procedure for client is available and up-to-date.
  9. Works with trainers to ensure client programs are properly communicated to the audit teams, where needed.
  10. Handles scheduling issues, schedule checking.
  11. Provides guidance and resolves escalated issues for new and existing clients.
  12. Addresses issues, including quality, complaints, accounts receivable, admin support.
  13. Performs other duties as directed.


QUALIFICATIONS

  1. Possession of a four-years college degree.
  2. Excellent written and verbal communication skills in English and proficiency in a 2nd language
  3. Salesforce experience is an advantage.
  4. Excellent communication and persuasion skills; written, telephonic, and in-person.
  5. Attention to details, good time management and flexibility. Able to manage multiple tasks and meet deadlines. Able to handle multiple problems simultaneously.
  6. Good problem solving, organizational, interpersonal and motivational skills. Should have high level of energy, enthusiasm, initiative, and commitment.
  7. Must be proficient in MS Word, Excel, Power Point, Internet navigation, and e-mail systems.
  8. Excellent mathematical and analytical skills
  9. Should be able to prioritize, work well under pressure, and be a team player.
  10. Able to maintain confidentiality and have a non-biased approach at job performance.
