Brief team/department description:
The Associate Director, Process Optimization plays a critical role in enabling operational excellence across the organization. This role serves as a steward of core management system tools and deliverables, while also leading the creation of standardized process documentation for key business activities. The ideal candidate is highly organized, detail-oriented, and skilled at driving clarity and alignment across cross-functional teams.
Principle Responsibilities:
Management System Stewardship
- Own and maintain key EPMO templates and tools, including (but not limited to):
- Roles & Responsibilities matrices
- Corrective Action and Strategic A3 templates
- Investment case request forms (internal)
- Ad-hoc business case templates
- KPI tracking frameworks
- Published process documentation repositories
Process Documentation & Standardization
- Develop clear, standardized documentation for critical business processes
- Facilitate stakeholder alignment to ensure process expectations and deliverables are well understood
- Collaborate cross-functionally to capture and refine workflows, inputs/outputs, and ownership
Continuous Improvement & Governance
- Support governance of management system deliverables to ensure consistency and quality
- Identify opportunities to streamline documentation and improve usability
- Assist in training and onboarding efforts related to process tools and template
Qualifications
- Proven experience in business process documentation, project management, or operational excellence
- Strong understanding of management systems and performance tracking tools
- Exceptional written and visual communication skills
- Proficiency in Microsoft Office Suite and process mapping tools (e.g., Visio, Lucidchart)
- Ability to work independently and collaboratively in a fast-paced environment
Preferred Skills
- Experience in Lean, Six Sigma, or similar continuous improvement methodologies
- Familiarity with A3 thinking and strategic planning frameworks
- Background in enterprise PMO or cross-functional business operations
