About this role

We're looking for a Senior Leadership Assistant to provide crucial administrative support to our leadership and organization in Poland. This role is perfect for a highly organized, proactive, and versatile individual who thrives in a fast-paced environment. You'll be the right hand for our Country Director, helping to ensure the smooth execution of their responsibilities.

These are some of the key ingredients to the role:
  • Executive Support: Manage the Country Director's calendar, schedule meetings, and arrange business travel logistics and expense reports.
  • Meeting Coordination: Prepare meeting agendas, briefing materials, and presentations. Take notes during meetings and ensure timely follow-ups on all action items.
  • Administrative & Document Management: Maintain an organized online filing system. Handle key administrative tasks, including managing the flow of documents and contracts in collaboration with legal and finance teams.
  • Internal Communication: Facilitate effective communication within the team and across departments.
  • Event Planning: Organize company offsite events, workshops, team-building activities, and other corporate events.
  • Ad-hoc Projects: Assist with special projects and research, such as market benchmarking or new initiatives.
What you’ll bring to the table:
  • Experience: Proven experience (min. 2 years) as an Executive Assistant, Office Manager, or in a similar administrative role, preferably in a dynamic or startup environment.
  • Communication: Excellent written and verbal communication skills in both Polish and English.
  • Proactivity & Autonomy: The ability to work independently, anticipate needs, and manage tasks from start to finish without micromanagement.
  • Organizational Skills: Exceptional time management and prioritization skills, with the ability to handle multiple tasks and "filter the noise."
  • Digital Proficiency: Advanced user of digital tools, including Google Workspace (Gmail, Calendar, Docs, Sheets) and Slack. Experience with CRM systems like Salesforce is a plus.
  • Personal Attributes: High emotional intelligence, discretion, and trustworthiness. You should be resilient under pressure, adaptable to change, and have a positive, proactive attitude.
