Job Summary
Oversee completion of WebTPA responses to Request for Proposals (RFPs), sales quotes, audit questionnaires, security questionnaires, and any other types of questions received for prospective and current clients.

Essential Functions

  • The essential functions listed represent the major duties of this role, additional duties may be assigned.
  • Facilitate and manage cross-functional teams of internal subject matter experts and external partners with clear objectives and requirements to meet aggressive proposal schedules and ensure deliverables are submitted by the deadline (30%)
    • Manage and monitor project milestones, production schedules, assignments, deliverables, and facilitate meetings, based on the requirements and due dates specified 0%
    • Direct pricing work with WebTPA's Chief Financial Officer 0%
    • Collaborate with Sales and/or Account Management lead on vendor alignments (e.g., healthcare provider networks, pharmacy benefit managers, etc.) 0%
  • Ensure the formal proposal response documents are compliant, accurate, consistent, and responsive and articulate the value of WebTPA's services and offering through the effective application of sales knowledge and creative, business and publication writing and editing skills. (30%)
    • Compose responses based on past submissions and knowledge regarding WebTPA's operations 0%
    • Identify and work with appropriate internal and external teams to develop content for new questions encountered within each RFP and provide necessary information required to create accurate and compelling responses to inquires within an RFP. 0%
    • Oversee the final document review, assembly, quality check and production ensuring compliance with proposal specifications and WebTPA's standards 0%
  • Coordinate hard copy submissions as necessary, ensuring that printing and binder assembly are completed accurately. (10%)
  • Delegate various RFP-related components to the appropriate external vendors for completion, reviewing returned responses for completeness and accuracy and integrate into final submission. (10%)
  • Serve as Subject Matter Expert on technology utilized to support the sales process (currently RFPIO). This includes, but is not limited to, importing and exporting questionnaires, managing the answer library, troubleshooting, and being knowledgeable about new features released by RFPIO. (10%)
  • Assist with provider network evaluations and other analyses involving Excel file manipulation, pivot tables, and/or Access database querying. (5%)
  • Support Chief Growth Officer, Director of Product & Business Development, and Business Development Managers in the coordination and execution of strategic sales, marketing and client retention initiatives. (5%)


Required Work Experience
2+ years related work experience. Experience Details: Experience in communications, technical writing, grant or proposal coordination

Required Management Experience
No supervisory/management experience required

Required Education
Related Bachelor's degree or additional related equivalent work experience Journalism, English, Communications, Technical Writing or related field

Additional Required Qualifications• Demonstrated experience managing and successfully delivering multiple projects simultaneously• Ability to prioritize multiple tasks, meet multiple deadlines and manage time effectively• Strong team player, with ability to work independently as well as in a team setting• Exceptional business writing skills• Excellent verbal and interactive people skills• Extensive knowledge of grammatical, spelling and formatting issues

Additional Preferred Qualifications
OTHER SKILLS• Mastery: Microsoft Word, Microsoft PowerPoint, Microsoft Excel• Proficiency (desired): Adobe Acrobat, Microsoft Access• Familiarity (desired): RFPIO (or other proposal development software)NICE TO HAVES• Work experience in the managed healthcare industry• Experience with data analysis, including creating pivot tables• Experience completing RFPs• Experience developing customized responses to complex questionnaires

General Physical Demands
Sedentary work: Exerting up to 10 pounds of force occasionally to move objects. Jobs are sedentary if traversing activities are required only occasionally.

Physical/Environmental Activities
Must be able to travel to multiple locations for work (i.e. travel to attend meetings, events, conferences). Occasionally
