JOB OVERVIEW

The Topgolf Sales Operations Representative is responsible for assisting in all functions of Order Management including customer order entry, order changes, order inquiries and on time delivery. The Topgolf brand is growing rapidly and this role will be responsible for facilitating that growth. The incumbent will work directly with Topgolf, Toptracer, and NADC teams to problem solve and/or coordinate internal and external customer needs related to order delivery and availability. The incumbent will prioritize and wave deliveries Topgolf/Toptracer deliveries for the distribution center and ensure that they are shipped accurately and within established time frames. The incumbent is responsible for interpreting, reacting, and communicating information related to sales and operations reports. This position will also will work on special projects related to Order Management.

ROLES AND RESPONSIBILITIES

  • Responsible for customer order entry, order changes and order inquiry related to all Topgolf lines of business.
  • Responsible for direct contact with external customers regarding order status and order changes.
  • Responsible for understanding current Topgolf/Toptracer programs and be able to enforce guidelines or seek approval from appropriate authority on special requests.
  • Responsible for maintaining current product availability records and knowledge of current and past product offerings in addition to providing accurate information on stock status or estimated product delivery.
  • Responsible for integrating Topgolf into NADC and ensuring successful implementation.
  • Responsible for creating deliveries on orders and coordinate with the distribution center to ensure priority orders or orders with special shipping requests are carried out.
  • Responsible for developing and documenting new processes
  • Responsible for detailed reports using Business Objects, SAP and other department tools to review, track, assist Sales Operations team and management.
  • Support inbound processes especially for New Venue purchase orders
  • Responsible for reviewing, analyzing and prioritizing all shipping points
  • Responsible for printing all deliveries and maintaining an even work flow
  • Responsible for creating Wave Pick tickets for multiple deliveries
  • Responsible for issue resolution. This includes but is not limited to maintaining issue log and following through on issues to resolution.
  • Key contact between Topgolf Order Management and Distribution Center
  • Communicates daily with Supervisors on open issues
  • Must be able to work overtime on short notice
  • Expedite critical shipments as required
  • Communicates changes in shipping procedures including routing guide changes
  • Provide information and support to the sales department and coordinate daily rush priorities
  • Help identify, initiate and implement continual process improvement activities designed to optimize process efficiency and reduce cost.
  • Assist with any special project as needed
  • May occasionally cover duties of others within the department in special circumstances (holidays, vacation schedules, PTO, special projects.



TECHNICAL COMPETENCIES (Knowledge, Skills & Abilities)

  • Must be able to work in a fast paced environment
  • Ability to understand priority needs of the company and adjust when necessary or when directed
  • Demonstrate good verbal and written communication skills and be able to relate to all level of employees
  • Must be self-motivated and detail oriented
  • Knowledge of Microsoft Excel and Word
  • Ability to read and interpret instructions, policy, procedures, program information, etc.
  • Ability to multi-task and problem solve
  • Customer service experience
  • Knowledge of Topgolf and Toptracer's full product line and its specifications
  • Effective at collaborating across functions and organizations to reach desired outcome



EDUCATION AND EXPERIENCE

  • High School diploma, College degree or work experience preferred
  • Computer experience required / Excel / Word experience preferred
  • SAP experience helpful
  • Customer Service experience / background preferred
