Please review the following job description:

PRIMARY PURPOSE:

Assist MAE, Producer and Bond Manager in sales, marketing, and servicing of new and existing business. Effectively manage a book of business containing selected accounts encompassing a high level of expertise and service to the client. Mentor with Team Support/ASR1 and assist the ASR Supervisor in procedural training of new employees.

MAJOR ACCOUNTABILITES:

Following is a summary of the essential functions for this job. Other duties may be performed, both major and minor, which are not mentioned below. Specific activities may change from time to time.

Account Service:

Receive and respond to all client requests for information or administrative action on bond and form letter changes, certificates of insurance, invoicing, underwriting and other departmental functions. Delegate requests as appropriate and monitor follow-up. Personally assist in resolution of more complex requests in order to assure client that all tasks are handled at a managerial level.

Have capabilities to establish/maintain a good business relationship with all clients and company personnel. At the discretion of the Producer, may be called upon to interact face to face with clients or company personnel. Make the Producer/MAE aware of any negative situations.

Keep a record of all expiration dates within the book of business and coordinate with the MAE and Producer the "plan of action". Bring to the attention of the MAE and Producer any major changes to the account during the year.

Review contract and bond request information for onerous language or requirements and bring in assistance of MAE or Producer as needed.

Marketing:

Assist MAE and Producer in obtaining new/existing account information from the client and/or carriers.

Assist in having forms prepared for new/existing business.

Review forms returned by MAE, Producer, or customers for completeness and accuracy.

Track and obtain outstanding requests for information through the use of the surety suspense system.

Where possible, perform Marketing activities on Commercial Accounts and Commercial Surety Markets with little or no outside supervision. Marketing duties include placement of new business, remarketing existing accounts, placement of difficult risks and marketing negotiations as it pertains to program capacity, rates, and commissions.

Administrative:

Obtain necessary information to prepare and issue bid bonds, final bonds, good guy letters, letters of intent, consents, execution reports and countersignatures on new and existing business. Proof bond forms, process riders, complete reporting forms and initiate needed corrections to insure accuracy and completion of rating, dates, coverage, signatures, attachments (including powers). Request bid results, D&B reports as needed.

Enter and change detail in AMS360. Process and track invoicing and accounting discrepancies. Maintain ImageRight bond, bid, and financial files in neat order. Request a reorder of forms or powers from sureties as supplies run out.

Assist in all phases of training and progression of Team Support/ASR person (s). Assign work/responsibilities to Team Support as appropriate. Keep ASR supervisor appraised of mentor training and evaluate any additional training requirements, such as computer classes, etc.

Financial:

Collect outstanding premiums due the agency and keep collections within a 60-day period. Notify Producer if collections are in excess of 60 days and no response from Insured is apparent.

Assist clients in establishing payment plans as needed.

Keep MAE and Producer abreast of any commission changes and also keep Producer abreast of the total commission dollars during the year.

General Support:

Set an exemplary model in following company procedures and providing assistance to all team members. Mentor with Team Support/ASR I to promote "Best Practices" in these less experienced team members.

COMPETENCIES:

Commercial Insurance License

Extensive knowledge of bid and final bond forms, contract language, and the principals of suertyship gained through job and experience and training. At least ten years of office experience in surety division.

Strong client relation skills to build and maintain positive business relationships with clients and market contacts; including exemplary communication skills and service orientation, cooperative nature, and tactfulness to resolve client and company issues.

Exemplary team orientation to keep MAE's, AE's, Producers, and others aware of major issues related to assigned accounts, and to assist others in meeting team objectives.

Persuasiveness to obtain information, commitment or payments needed from others.

Discretion to resolve unusual as well as routine work problems.

Use increased knowledge of departmental work-flows and procedures to recommend cost or time saving activities to the department. If appropriate, assist in the implementation of any new procedures adopted by the department.

Ability and attitude to train/mentor junior members of surety team. Promote an "ownership" mentality in work efforts that leads to an exemplary attitude towards "Best Practices" within the department.

Increased knowledge and understanding of key financial information needed to make recommendations to our surety markets on over-line/stretch requests. This includes basic financial statement information, working capital, net worth, net income, and work on hand.

Knowledge of company computer programs for word processing, accounting, applications and any specialty programs as needed for your book of business as well as considerable knowledge of the company accounts receivable system.

Organizational skills to plan and prioritize workflow and to develop and oversee work systems and procedures.

Willingness to take responsibility and be held accountable for maintaining a book of business in such a manner that accounts could easily be delegated or reassigned with no inconvenience to clients. Abel to develop a trust with all clients that will assure them that any tasks or projects performed will be delegated to responsible, knowledgeable people that have the technical skills to meet their needs.
