Job Description Summary
Responsible to provide administrative support to senior level executives (those responsible for leading a business/market, corporate department or service line). Interface with internal and external parties with respect to highly sensitive issues on behalf of management. Interact with a diverse group of internal and external customers at all levels of the organization.
Job Description

  • Provide the full suite of administrative services including extensive and complex calendar and travel management, mailbox management, plan meetings, book appointments, and arrange conference calls
  • Prepares marketing materials including Offering Memorandums, Requests for Proposals and Marketing Packages using desktop publishing software
  • Tracks all agreements and deals, with the use of Salesforce, to provide Commission Accounting current information with regard to accounts payable and pending items on deals outstanding
  • Resolve administrative problems and inquiries
  • Prepare agendas for meetings and prepare schedules
  • Take on special projects working independently and/or within a team
  • Draft correspondence
  • Liaise with multiple senior stakeholders, including Senior Executives, clients, brokers and external business contacts, to ensure seamless communication flow to and from the office
  • Handle confidential reports and information
  • Arrange all travel, including flights, car rental or service and accommodations
  • Oversee the logistics for meetings
  • Monthly reconciliation of expense accounts
  • Ability to prioritize important issues as needed to be brought to the attention of the team
  • Screen telephone calls and incoming correspondence and provide appropriate responses in the absence of the executives
  • Receive and direct visitors
  • Organize ad hoc events as necessary
  • Assist with personal matters as required
  • Requirements:
    • Minimum of 7 years' experience in a Executive Assistant role, with demonstrated ability to work under pressure, and suitable maturity to interface with senior executives and customers
    • Experience with managing complex travel and meeting schedules
    • Strong written and verbal communication skills
    • Advanced knowledge of MS Office, especially PowerPoint
    • Superior organizational and project management skills
    • Excellent keyboard skills: >75wpm, proof-reading ability to provide for total accuracy
    • High level of commitment and results driven
    • Extremely detailed oriented
    • Good common sense
    • Polished and well presented, highly organized and task focused. Outstanding communication and interpersonal skills
    • Proven ability in building strong working relationships with a discerning and diplomatic approach
    • Demonstrated ability to prioritize, work unsupervised and manage a varied workload
    • Technologically proficient with the ability to troubleshoot problems with devices such as smart phones, laptops and tablets, and to liaise with company's IT as required



    Physical Requirements:

    • Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computer for up to 8 hours a day
    • May involve periods of standing, such as operating at a copier/fax/scanner
    • Regularly required to talk, hear, and use hands and fingers to write and type
    • Ability to speak clearly so others can understand you
    • Ability to read and understand information and ideas presented orally and in writing
    • Ability to communicate information and ideas in writing and orally so others will understand
    • Regularly required to utilize vision abilities, allowing reading of printed material, graphics, and computer displays



    WORK ENVIRONMENT:
    This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Regularly required to travel outside between properties in varying weather conditions.

    PHYSICAL DEMANDS:
    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee may need to travel from floor to floor, climb stairs, and may be required to travel outside between buildings in varying outdoor weather conditions. The employee may also be regularly required to remain in a stationary position (sit or stand) for 85% of the time; regularly use hands to operate office machinery and regularly required to walk, talk, and hear.
