ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
- Receives guests, takes phone calls, and distributes detailed messages promptly.
- Maintains a professional front desk presence, ensures an organized and adequately stocked office, break room, and shipping supplies.
- Serves as an assistant to the IT Department when needed, perform minor programming and troubleshooting.
- Keeps and distributes current copies of all organizational information (phone list, on-site forms, policies)
- Distributes all faxed documents and correspondence promptly to the proper staff.
- Generates information request letters.
- Places service calls for office equipment and archive records of service calls.
- Maintains and orders supplies for poster meter, copier, fax, postage and printers.
- Processes shipments FedEx and UPS, ensures that packages are picked up as needed, tracks packages when necessary.
- Provides administrative support and assists with specific projects as determined by the Director of Administration, Safety, and Risk.
- Assist Administration Department when necessary.
QUALIFICATIONS
- Strong attention to detail, written and verbal communication skills. Presents a positive attitude, demonstrates professionalism.
- Able to work productively both independently, and as a team participant
- Demonstrate strong organizational skills, handle highly stressful situations in a calm, mature manner, using sufficient judgment and discretion at all times.
- Thrives in a fast-paced dynamic environment and adjusts to new priorities as required.
EDUCATION AND EXPERIENCE
- Completion of 12th grade or GED equivalent
- Graduation from an accredited business school or college preferred.
- Minimum 2 years of related administrative work preferred.
