The Role

The primary focus of the Receptionist/Administrative Assistant role is to provide administrative and clerical support to the Office Administrator and the Recruitment Coordinator and to provide a warm, welcoming environment for all clients and guests.

RESPONSIBILTIES

  • Greet visitors, coordinate courier pickup/delivery, and maintain lobby area.
  • Answer all external and internal calls efficiently and route calls appropriately; take accurate messages and relay via e-mail to lawyers & Business Team with a sense of urgency.
  • Oversee conference room and visiting attorney office booking; coordinate A/V setup and catering needs.
  • Maintain parking database and ID card system.
  • Coordinate the set-up of new attorney offices.
  • Assist with special projects, attorney time entries, invoices, expense reports, and other functions as needed.
  • Request building engineers to complete basic office maintenance requests.
  • Understand and apply all security procedures.
  • Act as primary backup to the Hospitality team, performing all related tasks.

  • Other duties and projects as assigned.

QUALIFICATIONS/REQUIRED SKILLS

  • Ability to address multiple tasks efficiently and effectively.
  • Attention to detail and possess sound organizational and analytical skills.
  • Excellent communication and interpersonal skills.
  • Strong oral and written communication skills.
  • Exhibit and maintain a professional appearance, attitude, and positive demeanor.
  • Must be able to keep all personnel matters confidential.
  • Adhere to firm attendance and other policies.

EDUCATION, CERTIFICATIONS, AND EXPERIENCE

  • Two (2)+ years of receptionist and/or customer service experience preferred.
  • Proficient in Microsoft Word, Outlook, and Excel preferred.
  • Some college a plus.

PHYSICAL DEMANDS

  • Ability to occasionally lift 10 or fewer pounds.
     

HOURS

Core hours are Monday to Friday, 8:30 am to 5:00 pm, with an hour for lunch, and flexibility for overtime, as needed.

The annualized salary range for this position is $56,000 to $62,000 depending on the candidate's overall experience and other job-related factors permitted by law. Full time employees may be eligible for a discretionary bonus. In addition, full time employees as well as some part time employees, will be eligible for the firm’s fringe benefits as they currently exists.
