Project Managers provide on-time production executional support across all disciplines such as keeping projects on team, on budget, and on brand. Interfaces with Account, Creative, and Finance. They perform well under pressure, adheres to deadlines, and manages multiple projects simultaneously. Project Managers are self-motivated with a strong sense of accountability.

Responsibilities

  • Define the SOW and create the relating documents (Scope, Staff Plan)
  • Create the Project Timeline to clearly identify all steps leading up to major project milestones and final deadline(s)
  • Request Job Numbers
  • Book all required resources / submit requests for additional resource needs
  • Create and distribute the Kick Off document
  • Schedule all internal meetings, and take meeting notes - Kick Off, Internal Reviews
  • Create and update any internally required project documents e.g. Asset tracker for stock images
  • Monitor team progress and needs closely to keep the project on track and on schedule.
    • Adjust project timings / deliverables as appropriate. Supplying Change orders if applicable
  • Traffic print projects, route creative and mechanicals for internal approvals, manage print production, retouching and mechanical requests with studio
  • Escalate issues / concerns relating to the project to the PM/account leads
  • Create and update Work Forecast documents
  • Pull burn reports and track usage of hours against the afforded hours and % completion, as applicable
  • Prepare Estimates / POs / approve invoices / track finances as applicable
  • Adhere to agency process and financial policies; identify ways to improve processes
  • Enter time reports at minimum once a week and expense reports within 10 days of incurred expense
  • Handle other duties as assigned by supervisor



Required Skills & Experience

  • BA/BS College degree required
  • 3-5 years of project management experience in an advertising agency
  • Excellent organizational skills and attention to detail
  • Experience managing and motivating internal teams
  • Expert knowledge of MS Project/Smartsheet or similar project management tools
  • MS Office expertise and quality control experience
  • Strong understanding of digital and print production processes
  • Effectively communicate with all internal teams, understanding that listening is as important as speaking and doing
  • Multitasks well in a fast-paced environment
  • Dynamic individual who has energy and enthusiasm, and has an ongoing commitment to achieving high quality results
