We are excited to be hiring an experienced Project Coordinator III to work within our fast paced, Mechanical Circulatory Support Engineering and Operations group! As a Project Coordinator III, you'll be responsible for providing administrative support services for members of MCS Engineering and Operations groups; maintaining and facilitating the organizational resource management tracking and reporting tool and executing on special projects. A Day in the Life. Duties & Responsibilities:

 

  • Provides general administrative support including preparing communications and maintaining calendars for the Director of Operations, the Senior Engineering Director
  • Provide some general administrative support for the direct staff and Operations and Engineering employees, as needed
  • Meeting and conference coordination, both in person and virtual (Zoom), including coordinating with IT for use of in-house A/V equipment and coordinating catering
  • Travel coordination (domestic and international), including necessary international documentation
  • Submit expense reports using Concur for Director of Operations and Sr. Engineering Director
  • Gathers and compiles information for reports, creates presentations and meeting materials under the direction of leadership, gathers, compiles and reports on information relevant to supervisor's assignment
  • Active participant in Engineering staff meetings, may be assigned tasks under direction of supervisor such as agenda creation, topic facilitation and meeting minutes
  • Creates and maintains all-department and staff level communications such as internal team sites
  • Functional Pipeline Owner - responsible for developing, maintaining and reporting on resource management of engineering. The first point of contact in MCS for CRM PMO & finance for resource management. The FPO is the local subject matter expert for resource management processes and systems. The FPO also plays a primary role for the organization in working with the finance organization to ensure that information systems and functional processes are aligned to guarantee the accuracy of labor spending - both historical actuals and future forecasts. Helps to facilitate training for FMs and PMs on using PDWare's Resource First. Creates and distributes reports to FMs and PMs on monthly Actuals entry, as needed
  • Maintains knowledge of company administrative policies that apply to the department to ensure compliance
  • Coordinate various projects for the team, setting up files and managing general department supplies and inventory
  • Makes minor changes in systems and processes to solve problems or improve effectiveness of job area, expected to independently propose solutions to problems for manager review
  • Applies knowledge of and experience in the Ariba Purchasing Portal, the ASL and company Payment and Sourcing policy to facilitate execution of vendor contracts and payment of vendor invoice, Purchase Requisitions and Purchase Orders (P.O.s)
  • Manage New Hire on-boarding process, including project manage any needs for new hires including new computer and mobile device ordering, coordinate with facilities team to set up cube, scheduling on-boarding meetings as needed per the hiring manager and any other needs
  • Distributes correspondence (via email and mailboxes) for Miami Lakes facility
  • Identifies issues in documents, memos, correspondences, and telephone calls which require action, follows up with action items, recommends alternatives and executes an alternative when appropriate
  • Performs a wide variety of non-routine administrative tasks and may support special projects or assignments
  • Works under general supervision
  • Exercise a positive team spirit within the team and be responsive to all inquiries in support of the Medtronic Mission

 

Must Have: Minimum Requirements

  • High School Diploma or GED
  • Minimum of 4 years of relevant administrative support experience

Nice to Have

 

 

  • Experience supporting senior level executives in a corporate setting
  • Software proficiency: MS Office, Zoom, Sharepoint
  • Bilingual
  • Proven ability to maintain confidentiality using independent judgement and discretion
  • Excellent written and verbal communication skills
  • Excellent attention to detail and organizational skills
  • Project management
  • Ability to take initiative and be self directed
